IntroductionFor a prestigious Life Sciences client, we are seeking a Facilities Operations Coordinator to join our dynamic team in the Southern EMEA region. This position represents a unique opportunity to contribute to the operational management of cutting-edge facilities in the pharmaceutical and biotechnology sector, where precision, compliance, and innovation are fundamental elements for success. MAIN TASKS Performance Monitoring & Analytics Monitor KPIs at regional and country levels to ensure service excellence across all locationsTrack Planned Preventative Maintenance delivery and compliance rates, identifying areas for improvementGenerate comprehensive forecasts and budget planning reports to support strategic decision-makingConduct quarterly risk reviews and proactively address deficiencies through systematic analysisCreate detailed trend and action reports to facilitate data-driven performance improvements Compliance & Quality Assurance Oversee Annual Audits & Inspections with timely corrective action closure to maintain regulatory standardsMonitor consolidated compliance programs (FM Global, MSS, FCA, BSP, Legionella) across all facilitiesEnsure high-priority compliance standards are consistently met for key clientsMonitor contractual compliance status and coordinate corrective action implementationVerify KPI and SLA achievement against established benchmarks Operations Coordination Monitor reactive service requests across all priority levels, ensuring timely resolutionCoordinate maintenance planning and execution per contract requirements and specificationsManage service request workflows and escalations to optimize response timesOversee contract-based maintenance schedule integration across multiple systemsEnsure MSA requirement delivery and adherence to service level agreements Data Management & System Integrity Ensure comprehensive data population for assets and contracts across all managed propertiesManage data accuracy for work orders and preventive maintenance schedulingMaintain system integrity to support accurate reporting and decision-making processesTrack energy and sustainability plan implementation progress and outcomes Strategic Collaboration & Improvement Collaborate effectively with Regional Leadership and Country Teams on operational excellence initiativesDevelop and implement improvement programs and initiatives based on performance analysisBuild and maintain strong relationships with regional service partners and stakeholdersWork closely with Performance Managers across regions to share best practices and insightsPartner with Regional Directors and FM teams on operational optimization projectsPropose global system and process improvements to enhance overall service deliverySupport cross-functional performance targets and organizational objectivesAssist with Change Request processes to ensure smooth operational transitionsIdentify performance issues through comprehensive root cause analysis methodologies Required Experience & Qualifications Professional Background 3-5+ years of progressive experience in facilities management, performance management, or operations rolesDemonstrated track record in KPI monitoring and performance improvement initiativesExtensive experience managing large-scale service contracts and Master Service Agreements (MSAs)Background in data analysis and compliance program management Technical Expertise Proficiency with CAFM systems (Corrigo preferred) and performance management platformsExperience with ARC Dashboard or similar compliance tracking and reporting systemsAdvanced proficiency in Microsoft Excel and data analysis tools for performance reportingKnowledge of FM industry standards and regulatory compliance requirementsExperience in asset management and preventive maintenance planning methodologies Core Competencies Strong analytical and problem-solving abilities with attention to detailExcellence in data management and accuracy maintenanceEffective communication and presentation skills for diverse stakeholder audiencesAbility to work independently across multiple countries and time zonesProactive approach to performance issue identification and resolutionStrong stakeholder relationship management and collaboration skillsUnderstanding of regulatory compliance frameworks (FM Global, MSS, FCA, BSP, Legionella) Language Requirements Fluent proficiency in English and Italian (written and verbal communication) What We Offer Opportunity to coordinate operations for strategically important accounts with significant organizational impact Platform to influence and shape best practices in facilities management across international markets Exposure to cutting-edge operational practices and technologies in diverse market environments Collaborative, innovative work environment with access to industry-leading resources and expertise Comprehensive professional development programs and clear advancement pathways Competitive compensation package including performance-based incentives Global mobility opportunities within a growing international organization Flexible working arrangements supporting work-life integration Location Latina, Italy Introduzione Per un prestigioso cliente nel settore Life Sciences, stiamo cercando una figura di Facilities Operations Coordinator che si unisca al nostro team dinamico nella regione Southern EMEA.
