Your Mission As General Services Manager, you will be a key member of the BOS Team, acting as the central point of contact for all soft facility and support services across our central operations and Maisons in Italy. This pivotal role is responsible for ensuring the smooth and efficient functioning of our offices and facilities, with a strong focus on process improvement and digitalization. You will manage a diverse range of services, from fiscal and administrative tasks to vehicle fleet management, supplier relations, and general facility operations, contributing significantly to our operational excellence. How will you make an impact? Team Leadership & Development Lead, mentor, and develop a team of professionals (e.g., 10+ direct reports, including senior team members), fostering a high-performance and service-oriented culture. Fiscal and Administrative Management Oversee the management and payment of various taxes and utilities, including TARI (Waste Tax), COSAP (Public Land Occupancy Tax), and Advertising Tax, ensuring timely processing for new activations, closures, and ongoing payments. Manage monthly payment schedules and update deadlines for various administrative obligations. Maintain contact with landlords and utility providers for specific needs. Vehicle Fleet and Mobility Management (with a focus on Digitalization & Improvement) Manage the company vehicle fleet, including order placement, contract modifications, tire changes, car washes, and maintenance schedules. Coordinate the booking and allocation of service vehicles. Administer DKV fuel cards (issuance, replacements) and Telepass devices (new, changes, Area C access). Process preferential lane permits for couriers. Handle traffic fines, including payment and re‑invoicing to employees. Ensure timely updates of license plates for driveway access systems. Actively seek and implement digital solutions to enhance fleet management processes. Contract and Supplier Management Manage all maintenance contracts for all supported entities, from drafting and legal review to final signature. Oversee the Amazon agreement and product lists. Manage rental agreements, including monthly payment processing, schedule updates, and communication with tenants. Financial and Real Estate Management Utilize SAP for Purchase Order (PO) and Goods Receipt (GR) management, invoice control and approval, and supplier master data maintenance. Support the digitalization and improvement of BOS and HSE budget management, including expense registration. General Services and Facility Management Manage utilities (water, energy, gas) for headquarters and other locations, including new activations, closures, and agreement management. Oversee telephony services for retail and headquarters, including new line requests (voice and security) and fault resolution. Enhance reception services, including managing reception personnel and improving overall service quality. Supervise courier personnel and operations. Manage bistro services, including supplier relations, service quality, product offerings, and addressing specific needs. Coordinate mail services, including franking and shipping management. Oversee garden maintenance and cleaning services, managing external service providers for these activities at the headquarters. Provide general support for various facility-related activities. Travel and Transfers Support Provide support for travel arrangements, including Concur user management, and administration of agreements with travel providers (e.g., Trenitalia, Italo, ITA, Air France, Europcar, and travel agencies). Employee Support Services Assist with various employee-related activities, such as managing specific activity spaces, secretariat support, building access, and booking yoga or meeting rooms. How will you experience success with us? A degree in Business Administration, Facility Management, or a related field is preferred. Proven experience of 5‑10 years in a similar General Services or Facility Management role, preferably within a multinational environment, 3‑5 years in a managerial capacity. Administrative, financial, and basic accounting competence. Demonstrated experience in supplier management, negotiation, and contract management. Proficiency in SAP (PO, GR, invoice control, supplier master data), Microsoft Office Suite and Zucchetti. Basic legal and fiscal knowledge related to utility supplies and contract law. Excellent command of English, both written and spoken. Exceptional organizational and planning skills with strong attention to detail. Proactive mindset with a strong drive for developing new solutions and digital process improvement, acting as a change agent. Proven expertise in process digitalisation and process innovation. Excellent communication and interpersonal skills, with the ability to manage a team, demonstrate leadership, and coordinate effectively. Strong time management and multitasking abilities. Service‑oriented approach with a focus on delivering high‑quality support.
