Role Overview

The BWS Special Projects Unit oversees BWS’s long-standing projects while leading the development andpre-production of new show formats, emotional masterplanning, and attractionconcepts. The Unit operates across multiple disciplines, including:

• Liveevents and ceremonies
• Ticketedshows, based on original IP
• Architectureand design of theatres and public spaces
• Temporaryand permanent artistic installations and exhibitions

We nurture each project from itsearliest conceptual stage, guiding it from an abstract opportunity into a fullyrealized production. Through a step-by-step process, we transform visionaryideas into tangible, impactful experiences.

The Project Manager works inclose collaboration with the Headof Production and the Executive Producer , supporting theoverall planning, production and management of the projects assigned to theSpecial Projects Unit. This role is central to the management of all operational, logistical, andfinancial aspects of each project, ensuring that schedules, budgets, andquality standards are met.

Acting as theoperational bridge between the creative vision and production execution, theProject Manager ensures smooth communication across departments, alignment withproject objectives, and timely delivery of milestones.

The idealcandidate combines strong organizational and analytical skills with a proactiveand solution-oriented attitude, capable of working in dynamic,multidisciplinary, and international environments.

Main Responsibilities

• Manages thestart-up phase of projects, defining planning, scheduling, taskdistribution and resource allocation.
• Scouts, hires, andappoints key project roles
• Defines and monitors budgets and project coststhroughout development and delivery, ensuring compliance with financialtargets.
• Manages projectdocumentation ,including timelines, contracts, production plans, and reports.
• Liaises with creative,production, and technical teams to ensure clear communication and operationalalignment.
• Supervises suppliersand freelancers ,ensuring deliverables meet quality, timing, and budget expectations.
• Tracks projectmilestones ,identifies potential risks, and supports the implementation of correctiveactions.
• Assists in feasibilitystudies and supports the preparation of proposals, budgets, and planning materials.
• Maintains day-to-daycommunication with clients and stakeholders , ensuring expectationsare managed and updates are shared effectively.
• Ensures compliance withinternal processes and workflows , contributing to continuous improvement ofproduction efficiency.
• Supports on-sitecoordination during production and delivery phases, ensuring high standards of execution.

Requirements

• 10 years of experience in production orproject management within large-scale events, ceremonies, or live entertainmentindustries.
• Proven ability tomanage complex workflows, budgets, and schedules.
• Strong organizationaland multitasking skills, with a keen eye for detail and deadlines.
• Excellent communicationand interpersonal skills, with a collaborative mindset.
• Proficiency in projectmanagement tools and budget tracking systems.
• Experience in workingwith multidisciplinary international teams.
• Flexibility,adaptability, and a hands-on approach to problem-solving.
• Availability to travel internationallyaccording to project needs.
