Posting Details (Default Section) Posting Number: 20244067S Position Title: Business Coordinator Position Type: Staff Location: Villanova, PA Recruitment Type: Internal/External Applicants Work Schedule: full-time/12-months Avg Hours Week Department: 411-Dining Services Administration Position Summary: This position is responsible for receiving and reconciling invoices and statements for various vendors in Dining Services. Assists meal plan operations financial manager especially during summer conferences. This person will work with management and co-workers to instill and foster the value of the Villanova Mission Statement and the Dining Services Mission Statement. Duties and Responsibilities: Receives invoices daily for all dining locations. Performs receiving function in our menu management system, CBORD . Reviews open PO in CBORD and compares to the monthly statements. Clarifies any questionable invoice items/prices/receiving signatures. Responsible for accurate and timely processing of invoices with a high level of customer service to both internal and external customers. Communicates directly with the GMs and receivers in the unit with any issues.Reconciles statements that are sent weekly and/or monthly. Follows up on all discrepancies directly with the vendors. This includes skipped invoices. Checks Banner vendor history status for vendors as needed. Responsible for verifying all statements to be up to date in a timely manner.Maintains filing system by Vendor/Dining location/date. This includes the closing and opening of the fiscal year and transporting files to be stored.Assists meal plan operations financial manager especially from mid May to mid August with the summer conference season. This includes assistance with billing, invoicing, creating meal cards, and eventmaster contracts.Performs other duties and assists with projects as assigned.Assists Dining Services operations with special events. Minimum Qualifications: Formal Education High school diploma required, bachelor's degree preferred. Three years applicable experience, in higher education setting preferred. General business background with computer skills and Microsoft Office Suite. Preferred Qualifications: Banner, CS Gold, EventMaster knowledge preferred.Serv Safe certification Physical Requirements and/or Unusual Work Hours: Ability to: sit/stand for extended periods, withstand extreme temperatures, use various chemicals, lift.push/pull up to 30 pounds independently.
