**About The Role**:
The Team Assistant’s primary purpose is to provide a high level of administrative, secretarial and organizational support to all teams within ZGS, to allow for the effective and efficient functioning of the business. This is a great opportunity for a career starter focusing in administrative tasks.

This is an internship position open for a 6 months contract.

**Accountabilities**:
**Administrative support**
- Sort incoming couriers and postage, distributing to appropriate staff
- Support the day-to-day administrative support to ZGS team, including assistance to different business units during peak season, as required.
- Ensure that the Finance team can operate smoothly, supporting with bill payment, vendor registration, PO creation, and accounts payable.
- Facilitate correspondence and phone calls, redirecting where appropriate.
- Perform secretarial support to the leadership team and/or take meeting minutes, as required.
- Assist staff with ordering business cards, promo material orders, couriers, etc.
- Support with H&S management (organizing trainings, ordering and assigning PPE, etc.)
- Maintain the general services contract archive (both hard and soft copies) up to date.

**Facility and Office management**
- Coordinate the office and other facilities, including coordination with suppliers, provision of services (garbage, cleaning, utilities, maintenance etc.).
- Handle the management of company cars, such as contracts, regular maintenance, calendar bookings, etc.
- Coordinate the resolution of team equipment problems (phones, laptops, fax, printers, etc.)
- Purchase groceries or stationery for the office, as required

**Project and Event management**
- Coordinate travel/accommodation and information for visitors
- Organize travel itineraries and coordinate travel/accommodation for visitors and the team
- Support ZGS industry meetings, workshops, field days - including coordinating speakers’ presentations/material, travel, venues, and equipment.

**Communication**
- Support ZGS communication and engage with the team.
- Act as a central point of contact and coordinate internal communications with the team.
- Provide translation services to the team, as needed.

**Qualifications & Experience**:

- High-school diploma or equivalent.
- Driver’s license, access to a car and comfortable driving long distances (both automatic and manual shift).
- Experience of at least 1 year in a similar role.
- Fluent in Italian and English both written and verbal, another language (French or Greek) is considered as an advantage.
- Highly developed computer skills (Microsoft office, O365, MS Teams).
