**1. BROAD FUNCTION**
- Provides Administrative support to the “Sr. Vice President-Drug Products External Manufacturing and Strategic Partnerships” and the Global Acceleration/GPP Leadership.
- Responsible for coordinating the DPEM LT agenda, documentation and collaboration sites and the virtual and F2F meetings
- Responsible for internal communication in DPEM
- Supports the coordination of the DPEM engagement initiatives and HR projects
**2. MAIN RESPONSIBILITIES**
**Planning/scheduling**:
- Manage the calendar “Sr. Vice President-Drug Products External Manufacturing and Strategic Partnerships” and “Global Acceleration/GPP Leadership”
- Manages travel and scheduling requests, including supporting the organization of visits to CMs internationally or at the Sites, including Corporate senior leadership.
- Scheduling ad hoc and/or recurring meetings by also interacting with individuals from other organizations to coordinate schedules.
- Provide proactive support with the meeting agendas and preparation by keeping track of follow-ups from previous meetings and managing or developing pre-read materials
- Build and maintain relationships with the AAs network for visit scheduling and agenda as well as develop the necessary external AA contacts with the CMs Sr. Leadership AA
**Business Processes and Communication**:
- Develop and drive the implementation of DPEM's internal and external communication program. Collaborate with the sites and Corporate Communication teams to ensure aligned agendas.
- Coordinates the internal townhalls by managing the agenda, preparing the materials, organizing the logistics, and managing the follow-ups
- Manage internal communication tools (e.g. Yammer) and propose the use of new tools as opportunities to further improve internal communication
- Develop DPEM internal presentations and material as needed (e.g. videos)
- Support in organizing and preparing presentations for site visits and periodic meetings
- Creates and manages appropriate electronic libraries and collaboration sites for non-GMP reference documents for the DPEM leadership team
- Develop material to be used externally in conformance with policies (e.g. ESC meetings)
**Engagement and HR agenda**:
- Coordinates with HR and engagement teams in different regions to drive the engagement agenda through active programs that address Pulse survey results and maintain high engagement levels in DPEM.
- Actively participate in HR projects (e.g. on-boarding of new employees) and connect with sites/teams as needed
- Maintain close follow-ups of key DPEM initiatives (e.g. people agenda)
**3. RELATIONSHIPS**
- DPEM team in all geographies
- DPEM HR and HR at all hosting sites
- Italian affiliate and corporate Administrative Assistants
- External partners Administrative Assistants
- Other manufacturing sites and central functions
**4. REQUIRED QUALIFICATIONS**
- Bachelor’s Degree
- Fluent English and Italian, other language is appreciated
- Extensive experience (+6 years) in a similar position in an international fast paced environment and demonstrated ability to provide professional secretarial support to senior management, managing priorities and meeting deadlines
- Management of complex agenda for Sr Leaders
- Business event coordination
- Advanced knowledge using Microsoft productivity tools including Outlook, Word, Excel, Power Point and experience using Share Point, Teams or similar
Personal Skills
- Strong ability to network and work with international team
- Strong written and verbal communication skills
- Demonstrated integrity and capability of managing sensitive and confidential information is a must
- Prioritization skills
- Good interaction skills with Sr Leadership
- High confidential information management
