**What does a Facilities Coordinator do?**

Facilities coordinators oversee all relevant activities inside and outside of the warehouse, depending of the stage of the project, this can involve construction of a building or it’s parts as well as construction and other works relevant to installation of technologies inside of the warehouse. Could also include additional structures, changes, adjustments and new construction. Facility Coordinator making sure that health and safety standards are met, cooperate in close relationship with designated personnel responsible for H&S in Notino and/or could be responsible for obtaining this kind of person. This person arranging repairs when needed, coordinate works in and out of the warehouse as well as looking for possibilities how to achieve targets at minimum cost. Facilities coordinator oversee building and equipment maintenance. They report to the facilities or warehouse manager and the two of them work together in tracking expenses and coordinating with external vendors.

Part of the job is to regularly check devices and systems (including but not limited to: fire alarms, intrusion systems, air-conditioners, etc) on a regular basis and identifies needs for repairs and maintenance. Facility Coordinator will also coordinate with external vendors, such as cleaners, and conduct cost analyses when purchasing new systems or services, regularly also check market status and challenge current suppliers. Facility Coordinator job includes scheduling preventative maintenance tasks, reacting to maintenance emergencies, testing building security systems and implementing manufacturer’s suggested maintenance planes into operation.

**Responsibilities**:
List of tasks includes but is not limited to:

- Arrange for regular maintenance of equipment and internal systems (e.g. heating system, alarms, security cameras)
- Check warehouse/ offices to identify needs for repairs or renovations
- Design and oversee the schedules mandated by the local law as well as mandated by the Notino’s standards.
- Monitor activities that happen outside the building, such as proper waste disposal and recycling
- Fix minor malfunctions in office/ warehouse
- Coordinate office and parking space allocation
- Keep track of regular and ad-hoc facility expenses
- Conduct market research and compare costs and benefits when evaluating new vendors
- Maintain an updated record of invoices from external partners (e.g., suppliers, security guards)
- Research new services and appliances to facilitate operations
- Ensure compliance with health and safety regulations
- Serves as a internal technical support for operation task / projects

**Requisiti**:
**Facilities Coordinator Requirements**
- A completed course in facilities management will be advantageous
- A minimum of 1 years of experience in facility coordination, project management
- Advanced knowledge of maintenance planning and schedules
- Proficiency in office software, such as Microsoft Word, Excel, and Outlook
- Excellent organizational, planning, communication skills, and negotiation
- Multi-tasking in a fast-paced environment
- Work experience as a Facility in a phase of any construction of warehouse / completed warehouse or similar role
- Experience in overseeing construction and equipment maintenance
- Familiarity with office/ warehouse equipment and security systems
- In-depth knowledge of building safety regulations and security protocols
- Sound judgement and the ability to think quickly during emergencies
