Overview & Responsibilities
We are hiring an Administrative Assistant for a permanent position in La Spezia, Italy.
Job Qualifications:
- High school diploma or university degree.
- Fluency in Italian and English.
- Proficiency in one or two additional languages (French, Arabic, or German preferred).
- Strong knowledge of MS Office Suite, especially Excel, Word, and PowerPoint.
- Experience in arranging travel, events, and hospitality.
- Ability to multitask effectively.
- Problem-solving attitude.
- Precision and meticulousness.
- Residence within specified areas (Albiano Magra, La Spezia, Sarzana, Massa, Carrara, Santo Stefano di Magra).
Job Duties:
- Greets visitors and notifies appropriate individuals of their arrival.
- Answers telephone calls promptly and directs them to relevant parties.
- Orders mail and express shipment supplies as needed for the HR Department.
- Enters and updates job descriptions as required.
- Ensures Elliott literature is current and accessible for guests in the lobby.
- Assists in preparing presentations.
- Generates, types, and revises Service Center correspondence using proper business formatting.
- Proofreads final documents for errors.
- Documents typed memos, letters, and expense reports accurately.
- Maintains a presence at the reception area during guest visits.
- Notifies supervisor of any necessary variations in office hours to arrange for a substitute.
- Keeps reception area tidy and organized.
- Manages PowerPoint presentations at an advanced level.
- Ensures ample supply of Elliott literature in designated areas.
- Controls gate access, checks badges, and coordinates escorts as necessary.
- Maintains and sources medical kits as required.
- Handles NDT certificates and responds to ISTAT statistics questionnaires.
- Receives goods, registers them into the database, and manages associated documentation.
- Conducts job filing tasks efficiently.
Base Location:
La Spezia, Italy
Work Schedule:
Full time - Monday - Friday.
