We are looking for a hardworking, motivated and talented Administrative Assistant, to join a fast-growing team in our Italian office. Excellent communication skills with a keen interest to work in multidisciplinary and fast paced environment is essential for this exciting and rewarding role.

As an Administrative Assistant, you will have daily contact with many different teams. You will have the opportunity to support them and coordinate a range of administrative tasks. You should have the ability to properly organize your time and priorities, willingness for training and self-improvement, proposing new ideas and exploring new systems to improve processes. You are expected to carry out all duties of the role responsibly and consistently.

The assistant will be hired directly by **BETA CAE Italy Srl (Turin)**, and therefore will be enrolled to the Italian work regulation and taxation.

**Job Description / Key Responsibilities**:

- Provide secretarial support to the Italian team and specifically to the office Managing Director
- Ensure all incoming mails and communications are handled promptly and professionally
- Prioritise and bring forward any pending issues that need to be acted on
- Organise meetings (coordinates with attendees, welcome guests, set up all required facilities, such as technical equipment etc)
- Maintain a well-organised electronic and paper-based filing system
- Make travel arrangements for the team
- Take minutes of meetings and distribute to all relevant parties in a timely manner
- Compile management reports or presentations and assist in special projects
- Support in drafting, correcting and managing corporate contracts
- Receive, control and manage orders from customers and invoices from suppliers
- Issue, control and manage invoices for customers and orders for suppliers
- Track payments and receivables
- Monitor and manage inventories of office supplies
- Oversee the office area and report any maintenance or other issues
- Handle communication with public services when needed
- Support accounting, HR and procurement activities
- Facilitate the internal communication flow as well as communication with the other company subsidiaries, and ensure company policies and other information are communicated all the way from top down
- Act as a company ambassador at all times, build strong working relationships with all internal and external stakeholders

**Position Requirements**:

- 1-3 years work experience as Personal/Executive Assistant, Office Coordinator or other relevant role
- College or university education
- Excellent command of the English language (verbal and written)
- PC literate with excellent knowledge of MS Office (Word, Excel, PowerPoint)
- Able to communicate in a professional manner and maintain confidentiality
- Attention to detail
- Well organised, able to prioritise effectively and with excellent time management skills
- Pleasant, enthusiastic and motivated personality
- Basic knowledge of accounting operations, legal, financial and business terminology

**Desired Skills**:

- Available to travel abroad if needed
- Knowledge of German will be considered as a plus
