Cheil Italy is looking for an Account Executive to manage integrated communication projects end to end, with a strong focus on events, hospitality, video campaigns and local adaptations.
This is a hands-on project management and client service role: we are looking for someone who owns the project from the brief to the final report, takes care of the client at every step, and coordinates a wide network of suppliers and production partners while protecting timings, quality and budget.
Role and Responsibilities
• End-to-End Project Management: Own the project life cycle from brief to post-event evaluation: planning, timelines, critical path, approvals, on-site execution and final wrap-up report.
• Client Care: Act as the day-to-day reference point for the client: proactive updates, reliable and timely answers, anticipation of needs and management of expectations, building trust project after project.
• Events & Hospitality: Manage the operational delivery of events, activations, roadshows, sponsorship activities and hospitality programmes, including venue and logistics coordination, guest and VIP management, staffing, on-site supervision and contingency planning.
• Video Campaigns & Adaptations: Coordinate video and content productions along the full pipeline (pre-production, shooting, post-production, delivery) and manage the adaptation and localisation of global assets for the Italian market, ensuring brand guidelines and technical specifications are respected.
• Supplier & Partner Management: Scout, select, brief, negotiate with and supervise suppliers and production partners (event agencies, production houses, post-production, catering, logistics, staffing, technical providers), monitoring quality, deadlines and compliance.
• Budget Ownership: Build and manage quotes, cost estimates and budget tracking; control costs and margins through the entire project, manage variations and reconciliation, and handle administrative flow (purchase orders, invoicing, closing documents) with precision.
• International Coordination: Interface with international clients, headquarters, regional hubs and cross-border suppliers, managing multi-market projects, time zones and different approval processes.
• Cross-Team Collaboration: Work in synergy with creative, strategy, digital and production departments, translating client needs into clear, actionable briefs and defending the quality of the agency's work.
• Smart Use of AI Tools: Leverage AI and automation tools to support market and competitor analysis, documentation, recap writing, reporting and performance monitoring, improving speed and accuracy of the team's work. Required Skills
• Minimum 5 years as Account or Project Manager in a structured communication, event or integrated agency.
• A concrete track record on events and brand experiences, including on-site management.
• Working knowledge of video production and adaptation processes, deliverables and timings.
• Experience with international clients or multinational structures; fluent English, written and spoken.
• Confidence with budgets, quotes, cost control and supplier negotiation.
• Excellent command of MS Office (especially Excel and PowerPoint) and cloud collaboration tools; familiarity with the main AI tools for research, documentation and reporting is a plus.
• University degree, preferably in Communication, Marketing or Event Management.
• Availability to travel and to work flexible hours during event days. Attitude and Personal Qualities
• Client Centricity: Genuine care for the client: empathy, availability and the ability to make the client feel supported and in safe hands.
• Organisation Under Pressure: Ability to manage multiple projects, tight deadlines and last-minute changes without losing attention to detail.
• Problem Solving: Pragmatic, solution-oriented approach, especially on site and when something does not go according to plan.
• Negotiation
Skills:
Confidence in managing negotiations with clients, suppliers and partners, finding win-win solutions while protecting agency interests and margins.
• Excellent Communicator: Outstanding written and oral communication skills in both Italian and English, with international stakeholders included.
