We are seeking a highly skilled MICE Coordinator to join our team at Baglioni Hotel Regina. As a key member of our Sales Department, you will be responsible for coordinating all aspects of events and groups, from initial enquiry to event execution.

The successful candidate will have:

  • Fluency in written and spoken English
  • Background in events management and/or luxury hotel industry
  • Excellent knowledge of Microsoft Office, including Word, Excel, and PowerPoint
  • Ability to work well under pressure, multitask, and manage time effectively
  • Good communication, organisation, and negotiation skills with a keen eye for detail

As a MICE Coordinator, you will be responsible for:

  • Coordinating all aspects of events and groups, including planning, communication, and execution
  • Managing the entire process from start to finish of group/event enquiries
  • Prospecting, qualification, and analysis of business and preparation of quotation
  • Negotiations and managing multiple enquiries
  • Issuing of agreement and management of payment
  • Ensuring that all guest requirements are ready and in place prior to each event and at regular intervals during each event
  • Welcoming the main point of contact prior to the event and introduction to the operational team
  • Carrying out all administration duties as required, such as filing, handling calls, and modifying group details on our Property Management System
  • Maintaining a sales database ensuring that all information is up to date and kept confidential
  • Carrying out site inspections and show-rounds as required and ensuring that all meeting rooms and events areas are checked and out in a presentable manner suitable for client viewings
  • Forwarding all potential sales leads to the Sales Manager with detailed information
  • Liaising closely with all relevant departments and communicating clearly in a timely manner

Key Responsibilities:

  • Coordinate all aspects of events and groups
