Job Summary

As a Receptionist, you will act as a host to our external and internal clients, providing an exceptional and world-class reception service.

Key Responsibilities
  1. Welcome all visitors to the office, ensuring a world-class guest experience.
  2. Deliver high performance through client service excellence.
  3. Act as a one-stop shop for all clients and visitors to the building, taking ownership of requests.
  4. Escort guests to visitors' rooms or meeting rooms, inform appropriate lawyers and employees of their arrival.
  5. Provide and remove equipment/supplies from client rooms, visitor rooms, and internal meeting rooms as required, ensuring the reception areas are tidy at all times.
  6. Offer refreshments to guests and deliver food/beverage orders to the meeting room when needed.
  7. Answer incoming telephone calls professionally, transfer callers promptly, and provide accurate information to callers about the location and presence of firm's lawyers and employees if needed.
  8. Liaise with the GTS department on maintenance of telephone and switchboard.
  9. Provide any other teleconference calls services.
  10. Control and manage the distribution and return of all visitors' temporary security passes.
  11. Book meeting rooms according to requests, including hospitality, cost-recharging, audio visual, and special setup.
  12. Coordinate internal couriers.
  13. Order taxis and inform clients, lawyers, and employees of the firm when a taxi is arriving.
  14. Order meals for office events upon request.
  15. Ensure product knowledge on building facilities, catering menus, local amenities, organizational structure, and people is up to date and relevant, so all enquiries are dealt with in a professional manner and expedited quickly.

Cover all shifts (8:30 to 20:00) on a rotational basis.

Wear a uniform and ensure that your appearance always reflects the highest standards of professionalism.

Qualifications

  • Client service focus.
  • Ability to stay calm under pressure when juggling multiple tasks.
  • Team player.
  • Strong judgment.
  • Proactive, resourceful, takes initiative.
  • Fluency in Italian and English.

Preferred Qualifications

  • 1 year of experience in the legal or hotel industry.

Location & Reporting

This is an on-site role based in Milan.

This role reports to the Senior Office Operations and HR Manager.
