Office and Purchase Manager

We are seeking a highly motivated and organized professional to join our team as an Office and Purchase Specialist. This role will be responsible for managing the local procurement process, providing support to office and finance colleagues, and ensuring the smooth operation of our office and purchase functions.
Key Responsibilities- Manage the local procurement process, including identifying needs, searching for suppliers, submitting purchase orders, and managing contracts.
- Support local finance on collection, control, and management of documents related to local procurement, including quotations, contracts, orders, and invoices.
- Work with local finance and the Bruker AP Team on vendor invoices, including authorizations, posting details, and SOX supporting documents.
- Collect and manage ESG data, including power, gas, water, and waste, and statistical data needed for local mandatory declarations.
- Manage office supplies, including furniture, consumables, stationery, and supporting facility management for office maintenance.
- Perform filing and proper maintenance of mandatory local documents, including EU invoices, domestic and foreign vendor invoices, fixed assets, payroll documents, and local contracts.
- Support local Controller in month/quarter/year-end checks on specific local activities, including accruals.
- High school diploma or university degree in economics or a related field.
- Minimum 3 years of work experience in office procurement management and accounts payable.
- Experience with ERP systems, preferably SAP.
- Advanced proficiency in Microsoft Excel.
- Familiarity with financial and administrative documentation, including orders, invoices, remittances, delivery notes, and contracts.
- Fluency in Italian and good knowledge of English.
- Excellent communication, collaboration, and organizational skills, with the ability to handle multiple demands and competing priorities.
- Demonstrated ability to work effectively in a complex global environment and build positive business relationships with all parties.
