Job Summary

The Office Assistant plays a crucial role in ensuring the smooth operation of the Office. This position requires a highly organized and detail-oriented individual who can provide administrative support to the Director and other colleagues.

Key Responsibilities
  1. Coordinate appointments and maintain the supervisor's calendar, ensuring timely and efficient scheduling.
  2. Provide office support services for meetings, trainings, and special projects, including preparing minutes and monitoring follow-up activities.
  3. Review, record, and distribute incoming mail and correspondence, and prepare draft responses to a wide range of correspondence.
  4. Perform various administrative duties, such as contract extensions, leave and attendance recording, and budget preparation.
  5. Research and compile background information and reference materials for reports, briefs, and speeches.
  6. Coordinate the work of other office support staff, establish priorities, and ensure equitable distribution of work.
  7. Create and maintain the work unit's filing and reference systems, and review office procedures for improvements.
Requirements

The ideal candidate will have a secondary school education and four years of relevant experience in office/management support work. Proficiency in English is required, and very good knowledge of MS Office applications, Internet, and office technology equipment is necessary.
