About the Role

This position reports to the President Senior Executive Assistant and provides administrative, organizational, and logistical support to business activities.

Main responsibilities will include:

  • Agenda management assistance
  • Planning and booking meetings, interviews, trainings, and external customer visits
  • Managing communication with internal and external contacts
  • Handling phone requests/responding to emails and getting/giving information to external contacts
  • Coordinating trips (train, flights, hotels, car rental) with travel agencies
  • Monitoring cost and administrative records
  • Preparing expense reports
  • Archiving contracts, ensuring invoices are signed and paid
  • Creating purchase requests on SAP
  • Planning and preparing special events/international meetings/partner visits
Requirements

We are looking for candidates with:

  • Excellent written and verbal communication skills in English and Italian (French is a plus)
  • Outstanding time-management skills and ability to prioritize, organize, and coordinate multiple tasks
  • Ability to work well with all levels of management, staff, departments, and third parties
  • Ability to handle confidential information with discretion and adapt to various competing demands

Estimated Salary Range

The estimated salary for this position ranges between $55,000 and $75,000 per annum, depending on experience and qualifications.
