Job Summary

We are seeking a skilled Cost Resource Specialist to join our Global Pharmacovigilance team. As a key member of our team, you will be responsible for administering costs, investments, and workload planning within our Research and Development systems.

Main Responsibilities
  • Collect and analyze data related to functional costs and resources for planning purposes, collaborating with relevant stakeholders and project managers.
  • Upload cost and workload planning data to our corporate Project and Portfolio Management System in a timely and accurate manner.
  • Prepare and submit justifications for cost plan deviations from previous baselines to our Research and Development Planning and Control team.
  • Support function heads in budget and rolling forecast proposal preparation and analysis, including identifying and reflecting agreed fine-tunes during budget discussions.
Functional Actual Cost and Investment Recognition and Justification
  • Prepare and check functional Purchase Requisitions (PRs) issuance within our corporate ERP system, ensuring PRs are correctly filled with respect to accounting and controlling coordinates.
  • Prepare all necessary documentation in support of Management Approval of functional Purchase Requisitions (PRs), including relevant explanatory notes.
  • Execute functional monthly closing activities, ensuring information on actual work performed by external providers is obtained and all expenditures are correctly accrued within our corporate ERP system.
  • Perform functional year-end closing activities, ensuring compliance with statutory and tax procedures and guidelines provided by administration and Planning and Control.
Functional Resource Breakdown Structure (RBS) Update and Timecard Filling
  • Communicate changes in the functional RBS to our Demand and Business Knowledge team to be reflected into our corporate Project and Portfolio Management System.
  • Track monthly actual workload by facilitating timecard filling by functional employees.
  • Track monthly external consultants' timesheets and fill related timecard by projects.
Requirements
  • Work experience in administration and budget coordination.
  • Technical degree in accounting or economics.
  • Fluent Italian and English language skills.
  • Basic competences in accountancy and knowledge of the drug development process in a pharmaceutical industry.
  • Good communication and analytical skills, as well as a working knowledge and understanding of office procedures.
