Job Description

We seek a highly organized and proactive Chief of Staff to support our growing team. As a key member, you will oversee daily administrative activities, ensuring smooth operations and efficient communication between teams.

Key ResponsibilitiesAdministrative Support


• Oversee daily administrative tasks, guaranteeing seamless office operations.

• Manage office space logistics, including sourcing and setting up new facilities in Sardinia.

• Handle document management, contracts, and ensure secure record-keeping for all company documents.

• Coordinate travel arrangements, accommodation, and other logistical needs for team members.

Human Resources (HR) Coordination


• Act as the primary point of contact for HR-related matters, providing timely support and guidance to employees.

• Manage recruitment processes, onboarding, and employee documentation, ensuring compliance with local labor regulations.

• Facilitate performance reviews, employee well-being initiatives, and team engagement strategies, promoting a positive work environment.

• Support the implementation of HR policies, ensuring alignment with company goals and objectives.

Procurement and Logistics


• Manage procurement of IT equipment, office supplies, and other resources, adhering to grant guidelines and company financial policies.

• Coordinate with suppliers to obtain quotes, compare offers, and finalize agreements, fostering strong relationships with vendors like Empatica and Dell Italy.

• Ensure all purchases align with company requirements, guaranteeing optimal resource utilization.

Coordination & Communication


• Liaise between internal teams, stakeholders, and external partners, maintaining open channels of communication.

• Provide executive support to the leadership team by tracking key priorities and deadlines, facilitating informed decision-making.

Qualifications and Skills

The ideal candidate will possess:

  • Proven experience in administration, HR, and procurement roles.
  • Excellent organizational and multitasking abilities with strong attention to detail.
  • Strong communication skills in Italian and English (both written and spoken).
  • Familiarity with IT procurement, budget management, and compliance with funding requirements.
  • Experience with project management tools like Notion and Google Workspace.
  • Previous experience in a startup, research project, or technology-driven organization is a plus.
