Job Summary

We are seeking a Sales Assistant to join our team at IMA Group. As a Sales Assistant, you will be responsible for preparing commercial and technical documentation for projects, collaborating with project managers and account managers, and managing and archiving documents in Sharepoint.

Key Responsibilities

  • Prepare commercial and technical documentation for projects, including offers, order confirmations, and MIP documents.
  • Interface with various internal functions, including sales, logistics, technical offices, import/export, administration, and legal departments, to gather information.
  • Manage and archive documents in Sharepoint, ensuring proper internal approval flows.
  • Support project managers in managing customer orders from purchase order to shipment.
  • Request materials for machine testing and define documentation for shipment.
  • Collaborate with the administration department to issue invoices, payment reminders, and manage orders with letters of credit, leasing contracts, and bank guarantees.
  • Request analysis of project contractual agreements from the legal department.
  • Organize customer visits at the division, including hotel reservations, pick-ups, coffee breaks, and meeting room reservations.

Requirements

  • 2-3 years of experience in commercial back-office roles.
  • Advanced knowledge of the English language.
  • Good knowledge of a second language, preferably German.
  • Basic knowledge of administrative and fiscal matters, including familiarity with invoices, proforma invoices, and international payment tools.
  • Organizational skills, precision, reporting skills, and ability to work in a team.

Preferred Requirements

  • Basic knowledge of import/export, including Incoterms and shipping methods.
  • Knowledge of contractual agreements, including supply contracts and confidentiality agreements.
  • Familiarity with CRM tools, SAP, and Sharepoint for document management.
