Job Summary

We are seeking a highly organized and goal-oriented Operations Assistant to join our team. As an Operations Assistant, you will provide essential support to our Operations Management Team in various daily administrative activities.

Key Responsibilities

  • Guarantee daily support to the Operations Manager & Staff Members
  • Plan meetings and Management Reviews (Operation Reviews, Communication Meetings, etc)
  • Assist in the preparation of regular scheduled reports or presentations
  • Arrange travel, booking flights, hotels, means of transport, in compliance with Company travel policies
  • Manage expense claims, guaranteeing the appropriate checks, in compliance with expense targets and regulations
  • Create OPEX Purchase requests of assets (i.e. laptop, hardware, PC supplies, stationary, etc.) and follow up the process till Purchase order release, using SAP tool
  • Create appropriate reports to monitor internal requests, orders, and expenses
  • Provide general support to visitors, acting as a point of contact for internal and external clients
  • Ensure the tracking at VAM tool of all internal visits, in compliance with Site Safety and Security regulations
  • Support employees in administrative tasks such as justifications/vacation management, room reservations, pay slip error claims, reimbursement requests, and data collection and communication on employees' presence on-site during closures (i.e. Christmas, May 1st, etc).

Requirements

  • Executive Assistant / Personal Assistant experience supporting senior leadership or previous project management experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational and communication skills
  • Familiarity with SAP tool is a plus
  • Ability to prioritize tasks and meet deadlines
  • Strong problem-solving skills
  • English fluent: writing and speaking

Education and Experience

  • 5 - Master degree
  • 2-5 years of experience

Language Skills

  • English (3- Advanced)
