Job Summary
The Back Office Specialist role at Blm Group is a critical position in the Sales Area, responsible for managing administrative and customer contact activities. This role requires a high level of organization, attention to detail, and excellent communication skills.
Key Responsibilities
- Customer Management
- Manage customer requests in a timely and efficient manner;
- Establish and maintain positive relationships with customers;
Administrative Tasks
- Sales Order Management
- Enter and manage sales orders accurately and efficiently;
Financial Management
- Invoice and Credit Management
- Manage sales invoices, credit notes, and debit notes;
Operations Management
- Payment Tracking
- Periodically check payments and ensure timely processing;
Document Control
- Filing and Organization
- Manage and maintain accurate and up-to-date documentation;
Customer Service
- Complaint Resolution
- Manage customer complaints and resolve issues in a timely and professional manner;
Correspondence
- Customer Communication
- Correspond with customers regarding booking trips, exchanging documentation, and specifications related to current contracts;
Planning and Coordination
- Shipping and Delivery
- Plan and coordinate shipments, pick-ups, and deliveries to/from customers;
Requirements
- Education and Skills
- Diploma or degree with a business or linguistic focus;
Language Proficiency
- Language Skills
- Proficiency in German and English language (B2/C1);
Personal Qualities
- Interpersonal Skills
- Ability to work with order, precision, and accuracy;
- Excellent interpersonal skills to collaborate internally and deal with customers;
Desirable Qualifications
- Previous Experience
- Previous experience in a similar role;
Additional Language Skills
- Language Proficiency
- Knowledge of a third foreign language, preferably Spanish (B2/C1).
