OverviewNavy Child and Youth Programs (CYP) offers early care and youth services in center-based (birth to five), facility-based (age 5-12), and recreational environments (teen; youth sports and fitness). CYP Operations Clerk are front line representatives and administrative liaisons. They manage the CYP waitlist, coordinate enrollment, oversee record keeping, and collect parent fees in addition to a variety of data processing systems.ResponsibilitiesRecord keeping and reporting: Prepare and maintain assigned reports, correspondence, and statistical and financial data for CYP components (e.g., CDC, CDH, SAC, YP, R&R, USDA).Enrollment and records: Ensure child registration and enrollment paperwork is complete and current; ensure USDA food program records are accurate, up-to-date, and readily available.Background checks and compliance: Review and submit completed paperwork for background checks; provide required information to requesting agencies (Family Advocacy, Naval Investigative Services, Environment, Safety and Fire, USDA).Reporting and issue resolution: Prepare daily, weekly, and monthly reports in compliance with policies and procedures and submit timely; research records and follow up to resolve discrepancies; notify supervisor of unresolved issues.Liaison with Families and Programs: Provide front desk coverage, log children in/out, answer questions about programs, services, financial obligations, waiting lists, events, and procedures; disseminate information to CDH providers regarding training, certification, status, and USDA reporting requirements.Inquiries and referrals: Take telephone calls, respond to inquiries, refer to supervisor when appropriate; perform resource and referral duties and maintain current waiting list.Fees and supplies: Collect fees and record payments; notify supervisor of delinquent payments; maintain daily activity reports and proper cash handling; monitor supplies and notify supervisor of items to order.Additional responsibilities: Serve as a mandatory reporter to Family Advocacy and Child Protective Services as prescribed by local policy for suspected child abuse/neglect; perform other duties as assigned.RequirementsMust satisfactorily complete all background checks for child care positions (including fingerprint checks, Tier 1 with Child Care check, Tier 3 if applicable, and SCHR check).Must pass a pre-employment physical, provide evidence of immunization, be free of all communicable diseases, and obtain appropriate immunization against communicable diseases.Must be 18 years of age or older; must obtain and maintain appropriate security clearance as needed.Ability to complete required training certificates and maintain certifications/credentials required by Federal, State, and/or national accreditation bodies used by DoD CYP.High School Diploma or equivalent; US citizenship.QualificationsTwo (2) years of administrative experience.Knowledge of administrative support functions and general office automation software, practices, and procedures.Knowledge of military CYP programs (CDC, CDH, SAC, YP, R&R) and USDA Food Programs.Ability to maintain a computerized database and working knowledge of CYMS or equivalent database system; ability to maintain accurate reports and records; ability to communicate effectively in English (oral and written).Skill in cash handling.EducationMust provide a copy of your HS Diploma, GED, or College Transcripts showing degree awarded/conferred when you apply. If your degree is not awarded or you have DoD training certificates, provide a copy of HS Diploma or equivalent.Drug PolicyExecutive Order 12564 requires a Federal workplace free of illegal drugs.
