Job Summary:
The Management Assistant provides secretarial and administrative support to the Management Team, HR department, and plant operations. This role manages site logistics, vendor compliance, facilities, employee travel, internal communication, and employee welfare programs. The position serves as a primary point of contact for external organizations, plant visitors, and third-party service providers.
Essential Job functions:
Provide executive and administrative support to the Leadership Team and cross-functional departments.
Schedule and organize meetings, prepare agendas, circulate data, and take meeting minutes.
Prepare presentations, reports, correspondence, meeting materials, and other business documents.
Track delivery compliance for routine reporting.
Provide secretarial backup to the Leadership Team
Handle badge disposal, uniform supply, and locker/safe box assignments.
Oversee signature registration and corporate credit card applications.
Deliver Concur system training and user support.
Manage travel arrangements, expense reporting and invoicing, ensuring smooth administrative processes by booking travel services, venues, and accommodation, and by monitoring costs and validating travel invoices.
Handle logistic reservations, assistance, and fleet/car leasing management.
Manage plant internal and external communications in partnership with HR.
Publish notices, events, and visitor announcements on the Video Wall and plant TV screens.
Coordinate and organize plant events, recreational activities, and product boxes initiatives.
Manage comfortable welcoming arrangements for plant visitors and lead/participate in plant tours.
Act as the primary contact for external entities, including local charity organizations.
Supervise the legal email and third-party janitorial services.
Manage general office supplies (stationery, water, oil, etc.) and associated budget management.
Manage vendors and maintain vendor compliance.
Provide support to the EHS team in overseeing the external cleaning contractor, including documentation regularity control (e.g., DURC, safety certificates, distribution checklist) in line with EHS contract and budget guidelines.
Handle sensitive and confidential information with the highest level of discretion.
Organize and coordinate leadership meetings, workshops and offsites Manage communications, including emails, phone calls, and requests, ensuring timely responses and appropriate escalation.
Maintain accurate records, files, and confidential documentation
Assist with the correct administrative handling of orders and invoices via SAP

Compensation and Benefits
Expected Gross Annual Salary Range: €32.000 - 36.000 gross per year
This position is offered under a permanent employment contract.
The role is governed by the applicable Italian National Collective Bargaining Agreement (“CCNL”) (Contratto Alimentari Industria), including the relevant job classification and economic provisions applicable to the position.
The initial compensation within the above range will be determined on the basis of objective, transparent and gender-neutral criteria , including professional experience, skills and competencies, qualifications, scope of responsibilities, role requirements, location, applicable CCNL classification and internal company policies.
Subject to role eligibility and applicable company policy, employees may also be eligible to participate in variable compensation programs tied to company and/or individual performance, including an annual target bonus opportunity where applicable.
