Purchasing Assistant

Type: Permanent (40 hrs pw)

Location: San Cesareo, Rome / Opportunity for Hybrid Working

**Salary**: €25,000 - €30,000, Profit Share Scheme, Pension, Free Lunch

Reporting to: Purchasing Manager

**The Role**

The role would suit an enthusiastic, solution-orientated individual who applies a detailed methodical approach to managing multiple projects with a can-do attitude.

**Key Activities & Responsibilities**
- **Placing & following up purchase orders**:

- 100-140+ purchase orders at any one time, most of which require weekly follow-up, to check the supplier has received the PO, check when they have this scheduled into production, checking that happens on the right date, then checking when it will be delivered
- **Checking order confirmations & answering any questions **(most purchase orders have an order confirmation sent back, it’s our responsibility to confirm that matches our PO, if anything is unclear about spec or material availability etc. at the time of purchase the suppliers can often come back with questions you have to find the answers to
- **Proforma Payments & Invoice Queries**:

- any proforma payment requests are required to be uploaded onto the proforma payment Smartsheet, and any invoices that come in which don’t match our PO for any reason will get loaded onto a queries sheet, which need to be looked into
- **Goods In Planner -** incoming orders to be logged onto the goods in planner
- **Pre-Order Quoting / Questions**:

- answering questions from sales including what the best lead time we can do on this, what’s a cheaper alternative to this, where is this from, can you check a bulk price on this item, can you check the required lead time for this quote, can we do this stool in this special finish etc.
- **Remedials **- Deal with issues relating to material complexities such as marble arriving smashed, wood splitting, brass gets dinged, etc. it all needs to be fed back to the suppliers discussing credits and replacements etc.
- **Product Training** - Conducting product training with key account staff and new salespeople to ensure they are getting the best out of our client's products

**KEY SKILLS**
- Professional with excellent relationship building skills
- Strong organizational and communication skills being able to multi-task effectively and work to deadlines on multiple projects.
- The ability to work with autonomy and as part of a team.
- Passionate about developing, learning new ways of working with the ability to use your own initiative, together with bringing fresh innovative ideas to the table
- Excellent verbal and written skills both face to face and virtually
- Excel intermediate
