Administrative Services Associate, Receptionist

We are looking for a Administrative Services Associate, Receptionist for our two offices based in Lucca, that serves visitors welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system, enhances effectiveness by providing information management support.

Type of contract: fixed term ( 12 months)

The search is only for people with disabilities.

Essential Duties and responsibilities:
- Directs visitors by maintaining employee and department directories and giving instructions, also English speaking- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable- Maintains security by following procedures, monitoring logbook, issuing visitor badges.- Maintains department schedule by keeping calendars, arranging meetings, conferences, teleconferences, and travel.- Assist colleagues with administrative tasks when needed- Keeps continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.- Organizes work by reading and routing correspondence, collecting information, initiating telecommunications- Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.- Provide excellent customer service- Prepares reports by collecting information

Job Qualifications:
- High school diploma- Verbal and written communication skills.- Superior customer service skills- Working knowledge of Microsoft Office, specifically Excel, Outlook, Word, and Microsoft Teams- Great attention to detail and the ability to multi-task.- Data entry skills.- Fluent in Italian and good knowledge of English
