We are looking for

**Travel Agent - Switchboard - Italy**

**Job Description**:
As a **Travel Agent - Switchboard** your are a brand ambassador who provides exceptional customer service internally and externally.

Gives directions, leads and manages the business trips according to H&M values, standard, policies and procedures.

**Your Responsibilities**:
Sales And Profit:

- Manage agreement with suppliers in according to travel policy and costs
- Bookings should be followed up and monitored in an efficient manner

Ensure a good planning with New Opening or Rebuilding Stores (Manage a group bookings, know the territory, reach the best price with the local hotels, provide of all colleagues movement)
- Maintain smooth travel operations
- Deal with bill checking for Hotel and Car invoices
- Quarterly report about Travel costs
- Periodically check the competitiveness of hotels and rental car fares

People & Team:

- Proactively provides solutions and advice to colleagues
- Maintains a balance between long and short-term planning
- Manage priorities with the right timings and workload in an efficient way
- Ensure that all hotel booking and transport facilities are taken care of colleagues
- Arrange necessary Visa documents for international trips
- Communication of travel policy to colleagues

**External Communication**
- Communicating in a clear and convincing way
- Ensuring that relevant information is shared to the colleagues in a structured and efficient manner
- Treating everyone fairly and showing empathy toward others
- Showing commitment to H&M and integrity

**Switchboard competencies**:

- Welcome all colleagues and visitors positively and enthusiastically
- Recognise both visitor and colleague needs and act on them
- Interact with other reception team members to provide seamless administration of reception duties
- Be knowledgeable about and ensure compliance with privacy and other relevant policies
- Ensure colleagues comply with security pass and badge requirements
- Contribute to a smooth, inspiring and efficiently run reception area
- Accurately complete and maintain the visitor log and ensure that visitor access complies with local policies
- Maintain an inviting, clean and tidy reception area
- Manage meeting rooms as required, including bookings and ensuring supplies are available
- Carry out other relevant tasks as required
- Manage post and deliveries, ensuring they go to the correct person/place and assisting with handling deliveries as required including stationare
- Efficiently use tools and systems
- Support Stores in every contact
- Support the office manager in ensuring a safe and inspiring environment

**Qualifications**:
**Your Skills**
- Excellent command of written & spoken English
- Computer operation with Office Package
- Excellent communication skills
- Excellent interpersonal & stakeholder management skills
- Negotiation skills

**Education & Experience**
- Experience in Travel Agency and/or Tourism degree will be a plus
