**Job Description Summary**

As a FSA/ Versatile Receptionist, you’ll be the face of the office — ensuring employees and visitors feel supported and valued every day. You’ll combine front-of-house duties with hands-on facilities coordination, helping make the workplace a positive, well-organized, and productive environment.
**Key Responsibilities**:
- Act as the main point of contact for all employee and visitor needs
- Greet and assist visitors; manage security and access badges; coordinate meeting rooms and parking
- Vendor relationship management for key office services (coffee/snacks, supplies, shredding, first aid, plants, HVAC, janitorial, etc.)
- Liaise with property management on all building/site issues
- Serve as liaison between Workplace and other departments (Safety, IT, HR, Benefits, Legal, Marketing, etc.)
- Schedule and track work orders via C&W’s CMMS to ensure timely completion
- Support implementation of workplace programs and operations, including:
- Handling internal service requests
- Managing office repairs, furniture moves, and space utilization
- Coordinating safety programs
- Managing budget tracking, purchase orders, invoices, and expenses
- Supporting new hire orientations and workstation assignments
- Plan, coordinate, and help facilitate social and wellbeing events (Wellbeing, Giving & Doing, Belonging & Diversity, Benefits, and more)
- Carry out additional ad-hoc duties as required
- When required by location:
- Manage reception, greeting, and visitor services
- Oversee mail and shipping (receiving, delivering, sending)
- Maintain office supplies, stock levels, and overall office aesthetics

**Knowledge & Experience**:
- 2+ years of experience in Facilities Management, Office Management, or Reception (preferably in an international environment)
- Experience managing vendors and working with cross-functional teams
- Proficient in Microsoft Office tools (Word, Excel, PowerPoint, SharePoint, Outlook, OneDrive, Planner, etc.)
- Knowledge of budgeting and financial tracking
- Fluent in written and spoken English
