**Job Title**: Administration & Accounting Specialist
**Department**: Administration and Logistics
**Reporting to**: Accounting Manager
**Subordinates**: None

**Job Purpose**
The Administration & Accounting Specialist will be responsible for supporting administrative and accounting activities, ensuring accuracy in financial records, compliance with regulations, and efficiency in business operations. The role requires strong analytical skills, attention to detail, and the ability to work collaboratively with different departments.

**Main Duties and Responsibilities**:

- **Travel & Expense Management**: Reconciliation and recording of employees' travel expenses, ensuring compliance with company policies.
- **Financial Reconciliation**: Manage the monthly checklist, including reconciliation of all accounts (banks, cash, credit cards, etc.).
- **Accounts Payable Management**: Monitor expired purchase invoices, prepare the Accounts Payable (AP) list, and process payments in a timely manner.
- **Project Administration**: Generate project numbers and ensure accurate documentation of project-related expenses.
- **Cost Reporting**: Print and analyze cost reports for each project or service job, supporting financial decision-making.
- **Tax Compliance**: Prepare and maintain all required files for monthly Intrastat reporting and VAT returns for Croatia, UK, and the Netherlands.
- **Financial Reporting Support**: Assist in the preparation and submission of various financial reports required by internal and external stakeholders.
- **Document Management**: Upload and manage documents on customer portals, ensuring accessibility and compliance with client requirements.
- **Qualification Support**: Assist in maintaining qualifications and certifications as required by regulatory authorities or customers.
- **Customer Compliance**: Handle documentation required by customers to grant technicians access to deposits and work sites.
- **Employee Attendance Management**: Oversee and manage employee attendance records, ensuring accurate tracking and compliance with company policies.

**Qualifications, Prerequisites, and Expertise**:
**Education & Experience**:

- Degree or diploma in Accounting, Finance, or Business Administration.
- 2+ years of experience in administration and accounting roles, preferably in an international environment.

**Technical Skills**:

- Solid knowledge of accounting principles and financial reconciliation processes.
- Experience with accounting software and ERP systems.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Good knowledge of the English language (both written and spoken).

- Strong attention to detail and analytical mindset.
- Proactive approach to problem-solving and process improvement.
- Good organizational skills and ability to handle multiple tasks efficiently.
