This position assists the Facilities Manager to ensure timely maintenance to facilities using established processes and standards of maintenance, repair, and replacement, as well as provides administrative support
- Works under the direction of the Facility Manager.
- Prepares purchase requisitions, process invoices, prepares financial reports.
- Communicates with vendors and contractors and priesthood leaders.
- Manages facilities through computer databases: FLS, CFIS
- Performs other office and administrative duties as assigned.
- Plans and coordinates maintenance works.
- Collects various data from different sources and databases to prepare reports for the management
- Interacts with public administration to get and provide information necessary for taxes purposes (garbage tax, property tax, entrance gate, etc..)
- Interacts with landlords and manages leases (contracts, annual increase, payments, security deposit, condominium fees, etc..)
- Assists the Facilities Manager during the preparation of the Annual Plan
- Attends required training meetings
- Strong commitment to the mission of the Church of Jesus Christ of Latter-days Saints (applicant must be a member with a valid Temple recommend).
- Two years post high school education and three to five years diverse clerical experience or equivalent demonstrating:
- Communications skills, including professional phone etiquette and writing effective business letters, ability to communicate effectively and courteously with priesthood leaders managers. fellow employees and vendors
- Basic business accounting skills, including understanding of documents (invoices, purchase orders, statements, contracts).
- Typing & ten key skills.
- Organizational, filing, scheduling, time management and prioritization skills.
- Italian native speaker level and English advance level is required (both written and spoken).
