Administrative & Accounting Coordinator - Private Family Office

A private Family Office is seeking a reliable and detail-oriented Administrative & Accounting Coordinator to support the Principal across a wide range of business and personal functions. This is a high-responsibility role requiring fluency in Italian and English (Spanish is a plus), excellent organizational skills, and a solid foundation in accounting, accounts payable, and day-to-day administration.
**Key Responsibilities**:
- **Administrative & Accounting Duties**:_
- Manage accounts payable and ensure timely processing of invoices
- Maintain accurate bookkeeping records and support bank and credit card reconciliations
- Track expenses and assist with budgeting, cash flow reporting, and payment scheduling
- Coordinate with external accountants and advisors for reporting, audits, and filings
- Prepare and translate correspondence and documents in both Italian and English
- Organize financial and administrative records related to investments, real estate, and personal accounts
- Handle general correspondence, document management, and scheduling as needed
- **Personal Affairs & Asset Coordination**_
- Oversee the administrative side of the Principal’s residences, including service providers, staff payroll, and household costs
- Manage records and logistics related to vehicles, a commercial yacht, and related insurance and maintenance
- Plan and coordinate private travel, bookings, and itineraries
- Act as liaison with household staff, vendors, and consultants
- Support the Principal with personal scheduling, events, purchases, and confidential matters
- Provide limited on-site support, including occasional domestic or international travel
- Maintain absolute discretion and professionalism at all times
Pay: €30,000.00 - €45,000.00 per year
