We are looking for a proactive Receptionist to work in our offices in Frascati, Italy.
The key individual will represent RHEA Group as the first point of contact at our offices by welcoming guests and greeting people who visit the offices in a positive manner, and executing all required administrative tasks to the highest standard.
**Tasks and Activities**:
The scope of work will include:
- Greeting and welcoming guests when they arrive at the office.
- Ensuring control access rules and procedures are executed and respected according to Company Quality and Security Policy.
- Introducing visitors to the appropriate person and office.
- Answering incoming phone calls and providing basic and accurate information.
- Receiving, sorting and distributing daily mail and deliveries.
- Assisting colleagues with administrative tasks.
- Ordering office supplies and keeping inventory of stock, including stationary, coffee, water and any other requested materials.
- Ensuring that the reception area and all common areas are tidy and presentable, with all necessary stationery and materials provided (e.g. pens, forms and brochures).
- Maintaining office security in coordination with the Facility coordinator.
- Interfacing local providers and representing the point of contact for Corporate Finance Dept, to ensure all office invoices are duly paid.
- Arranging office meetings by organizing all necessary actions including booking meeting rooms and providing materials.
- Organizing yearly company events and regional meetings.
- Supporting visitors by organizing local accommodation and taxi bookings.
- Keeping updated records of office expenses and costs.
- Performing other office receptionist duties such as filing, photocopying, transcribing and printing.
**Skills and Experience**:
The following skills and experience are mandatory:
- High school degree (or equivalent).
- Proven past working experience as a Receptionist, Front Office Representative or another similar role.
- Proficient in Microsoft Office.
- Hands-on experience using office equipment (e.g. fax machines and printers).
- A professional working attitude.
- The ability to be resourceful and proactive when issues arise.
- Excellent organizational skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- A customer service attitude.
- Fluent in English, both written and spoken, and a good working knowledge of Italian.
The following skills would be highly desirable:
- A certification in Office Management.
- This position is open to protected categories under Italian Law 68/99 (“Rules for the right to work of disabled people”)._
