Efficient and punctual management of switchboard activities, customer and supplier reception, organization and sorting of mail, document archive, support for secretarial activities and general services.
Expected working hours: part-time, Monday to Friday
**RECEPTION & SWITCHBOARD**
- Receiving and dispatching of calls;
- Welcoming customers and suppliers.
**ORGANIZATION AND SORTING OF MAIL / COURIERS**
- sorting mail, parcel and post shipping (es. raccomandate);
- shipments with couriers, management of incoming and outcoming parcels;
- shipment tracking.
**COST MANAGEMENT IN ARIBA and INVOICE CODING**
- cost entry into the Ariba management system;
- coding related documentation;
- order management on Amazon.
**SECRETARIAL SUPPORT AND GENERAL SERVICES**
- Telephony management, including checking office needs and ordering hardware (phone, headsets, cordless);
- Management of various technicians: electrician; hydraulic; heating/air conditioning management; radiator maintenance; boiler overhaul; management of coffee/snack/water machines;
- Management of cleaners;
- Management of the supply of furniture and coordination of internal removals;
- Management of the stationery, in coordination with other internal functions;
- Restaurant Ticket Management (meal vouchers for employees);
- Travel and event management: travel bookings through agencies, hotel bookings, taxis;
- Organization of events and refreshments;
- Any ad hoc projects and activities.

**Desired Working experience**:
- Experience in similar roles of 1/2 years.
- Work experience abroad and/or in multinational companies will be highly appreciated.
**Minimum Educational Requirements**:
- High school diploma.
- Good knowledge of English (at least B2 level).
- Good knowledge of operating systems (Office package, SAP or other).

Part-time (25h/week)
Fixed term contract - 6 months
