Operations Support Officer

We are looking for a Resource Operations Support Officer (OSO-R) to work at the RHEA Group offices in Frascati, Italy.

The key individual will support RHEA employees in their integration into the country (if expats) and their working lives, wherever they work. This role is essential in ensuring an effective link between employee and company, especially when dealing with Corporate functions.

**Tasks and Activities**:
The scope of work will include:

- Acting as an interface between employees and Studio Ripamonti for any Italian contract and Italian payroll information (including collating payroll and other personal data, supporting staff in completing necessary documentation and explaining local and Group procedures).
- Providing local staff with assistance and supporting their interactions with RHEA headquarters in Belgium (HR, Legal, IT), including relocation support for staff moving to the local area.
- Providing support to expatriate staff, including:

- Ensuring residence and work-related permits are in order and supporting any issues.
- Ensuring Health Insurance is in place and supporting any issues.
- Supporting the translation of local documents.
- Supporting registration and appointments with local administration.
- Providing sickness and absence support, especially on national differences.
- Providing input to the development and implementation of new local policies and procedures.
- Administering local benefits, such as meal vouchers.
- Supporting local recruitment activities and assisting resourcing efforts, when requested.
- Supporting local office management, including liaising with the building management company and coordinating all office related contract services.
- Coordinating any training and development processes (costs and budgeting, administration, timings etc.).
- Performing introduction processes for new employees (including admin process training, health and safety training and organizing points of contact, corporate process training).
- Supporting the business in Time Management and related administration.
- Supporting the organization of any employee or client events such as summer parties, Christmas events, communications, presentations, etc.
- Providing back-up support to the Contracts Operations Support Officer (OSO-C), in order to cover the following tasks in case of absences:

- Supporting the preparation of draft contract documents (progress reports, hours reporting, minute taking, metric data collection, input for formal presentations).
- Supporting Mission Management (organising travel and hotel bookings, reviewing and first level approval of expenses, collating mission reports, generating data for mission invoices).

**Skills and Experience**:
The following skills and experience are mandatory:

- Experience in a financial or HR administrative position, with a strong emphasis on numerical accuracy.
- Experience in local employment legislation, to an extent necessary to support the HR team and external entities.
- Strong attention to detail.
- Good organizational and planning skills, while considering strict deadlines.
- Ability to take a practical approach to problem solving.
- Confident in building relationships, and working within a team.
- Ability to influence others, without direct authority.
- Confident working autonomously, on well-defined tasks.
- Proficient in MS Office tools.
- Advanced verbal and written communication skills, within a multicultural environment.
- Fluent in Italian, written and spoken (level C1).
- A good working knowledge of English, written and spoken (level B2).
