JOB SUMMARY
The Storekeeper / Inventory and Receiving Clerk is responsible for the efficient and accurate management of the hotel's inventory, storage areas, and receiving process.
This role is critical in ensuring all goods received meet quality and quantity standards, maintaining optimal stock levels, processing documentation (DDT/invoices), and managing timely order placement to support all hotel departments (F&B, Rooms, Operations).
Key Responsibilities
1. Receiving and Inspection
Goods Receipt: Systematically receive, unload, and inspect all incoming deliveries (food, beverages, operating supplies, maintenance items, etc.) against the official Purchase Order (PO).
Quality and Quantity Control: Verify that the delivered items match the specified quantity, quality, and price on the PO and the accompanying delivery note (DDT - Documento di Trasporto).
Documentation: Process and accurately record the receipt of goods, ensuring all receiving documentation (DDTs, invoices) is complete, signed, and properly filed.
Damage/Discrepancy Reporting: Immediately report any shortages, discrepancies, damaged goods, or quality issues to the Purchasing Manager or relevant department head for immediate action.
2. Inventory Management and Control
Stock Organization: Maintain all storerooms (dry storage, chilled, frozen) and main inventory areas in a clean, organized, secure, and easily accessible manner, adhering to HACCP and safety standards.
Issuing Goods: Manage the accurate issuance of items to various hotel departments based on approved requisitions, ensuring proper documentation is maintained for all outgoing stock.
Data Entry (DDT/Invoices): Accurately input all incoming delivery notes (DDTs) and invoices into the hotel's inventory management system (or accounting software) promptly.
Stocktaking: Conduct regular (e.g., weekly, monthly) physical inventory counts and reconcile them with the system's records, investigating and reporting any significant variances.
3. Ordering and Logistics
Order Placement: Monitor stock levels and assist in generating and submitting timely purchase orders to approved vendors based on par levels and requisition forecasts to prevent stock-outs.
Follow-up: Track outstanding orders and coordinate with suppliers to ensure timely delivery schedules.
Liaison: Coordinate closely with the Kitchen, Bar, and Housekeeping departments regarding their supply needs and stock rotation.
Qualifications & Skills
Proven experience in a similar role, ideally within the hospitality (hotel) or retail sector.
Strong understanding of inventory control procedures and documentation (DDTs/invoices).
Excellent organizational and time management skills with a high attention to detail.
Familiarity with inventory management software (e.g., Fidelio, Opera, or specific F&B inventory systems) is a significant advantage.
Physical ability to lift and move heavy supplies and operate basic warehouse equipment (e.g., pallet jack).
Knowledge of basic safety and hygiene regulations, particularly for food storage (HACCP).
