JOB TITLE: Business Process Management Specialist Consultant

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The World Food Programme (WFP) is the leading humanitarian organization delivering emergency food assistance and supporting communities to improve nutrition and resilience. Its Technology Division drives digital transformation to enhance operational effectiveness across the organization.
Since 2000, WFP has relied on the SAP ERP platform to manage core functions—finance, logistics, budgeting, and HR—supporting staff globally from Country Offices to Headquarters in Rome. The ERP system ensures consistent functionality and efficiency.
The ERP Development Team within the Technology Division maintains and evolves WFP's ERP solutions to meet changing business needs. As part of WFP's IT Strategy and Digitalization Program, a major upgrade is underway to transition from SAP ECC 6.0 EHP 8 to SAP S/4HANA on RISE via a Brownfield approach, aiming for full deployment by summer 2026. This initiative will enhance process effectiveness, efficiency, and compliance.
Reporting to the Head of ERP Development, the Business Process Management Specialist consultant will be responsible for supporting the successful upgrade of the corporate ERP system to S/4HANA. The incumbent will contribute to the design and implementation of organizational, processes change and knowledge management solutions to ensure a smooth transition and effective adoption of the new system. Particular emphasis will be placed on strengthening governance and compliance mechanisms and supporting the implementation of BPM/A methodologies and solutions.
ACCOUNTABILITIES/RESPONSIBILITIES:
1.BPM/A Lead to enable effective transition to SAP S/4 HANA (PMO)
•Support the migration of the current WINGS platform from SAP ECC 6.0 to SAP S/4HANA, following a brownfield approach and applying BPM/A methodologies to ensure business continuity and optimize existing processes for S/4HANA readiness. Oversee activities carried out by the WFP business partner, ensure process compliance, and assess functional impacts, particularly focusing on change management and training needs.
•Contribute to the coordination of end-to-end business process re-engineering activities, escalating issues to the Project Board as required and contributing to the identification of appropriate mitigation measures
•Define Standard Operating Procedures (SOPs), applying corporate standards and compliance frameworks, for the analysis and representation of WFP's business processes, organizational structures, accountabilities, and business roles.
•Act as the primary liaison between the project team and business functions affected by the conversion, ensuring that processes and change management requirements and impacts are fully reflected and validated throughout the migration process.
•Establish a Knowledge Management framework to ensure comprehensive documentation and knowledge transfer for all impacted processes, securing availability of up-to-date processes, descriptions, training assets and handover documentation to support adoption and operational sustainability post-conversion.
2.Coordinate Change Management efforts for SAP S/4 HANA acquisition
•Establish and coordinate a comprehensive change management, communication, and engagement plan aligned with the overall project implementation roadmap, ensuring consistency and synergy with broader TEC initiatives.
•Support business owners, process experts, and business analysts in identifying opportunities for optimization efforts, capacity building, and training needs to facilitate effective adoption of S/4HANA.
•Identify and empower change agents across functional areas to foster ownership, promote adoption, and facilitate two-way communication between the project team and end users.
•Establish an integrated framework for training, knowledge management, and knowledge transfer, ensuring the design, development, and delivery of standardized, user-friendly, and business-relevant learning materials to support users throughout the transition. Leverage innovative and emerging technologies, including AI-based solutions, to enhance learning effectiveness and knowledge sharing.
•Establish criteria for the selection and involvement of a user-centric network of trainers, utilize Business Engagement, Service Design, and Knowledge Management techniques to build a network of change agents capable of promoting the utilization of SAP S/4 HANA and related solutions. Foster the "train-the-trainer" approach to ensure cost-effective knowledge sharing and acquisition.
•Ensure continuous stakeholder engagement and systematic feedback collection to monitor change adoption, assess readiness levels, and address emerging challenges in a timely and coordinated manner.
3.Co-create relevant platforms, and tools to facilitate the integration of change
4.Contribute to the identification and mitigation of potential risks and resistance to change
5.Measure the efficiency of BPM/A and Change Management efforts.
6.Ensure effective information sharing, also by collating regular reports for Business Owners and Senior Management on status updates.
7.Other duties as required.
DELIVERABLES AT THE END OF THE CONTRACT:
As Business Process Management and Analyst on SAP S/4HANA Upgrade, post conversion and for other initiatives:
Deliverables to Be Reviewed and Supported by the Analyst
•Strategic end-to-end Business Process optimization: Finalized end-to-end process overview, and aligned with corporate review and objectives.
•Structured Change Impact Plan and Improvement Framework: Organized task list grouped by themes and priorities, with validated and actionable items.
•Coordinated Processes Improvement Plan: Documented recommendations for optimizing SAP-related business processes and system integrations.
•Project Documentation Repository: Ensure that all documentation is consistently updated, stored in the designated repository, and accessible to relevant stakeholders.
As Organizational Change Management and Engagement specialist on SAP S/HANA Upgrade, including post conversion and for other initiatives:
Deliverables to Be Reviewed and Supported by the Analyst
•Change Management and Engagement Plan: Comprehensive and approved plan outlining key communication, engagement, and change management activities aligned with the overall S/4HANA implementation roadmap.
•Change Agent Network and Governance Framework: Defined structure and operational plan for a network of trained change agents and focal points across business units, including governance mechanisms and reporting lines.
•Training and Knowledge Management Framework: Established framework detailing the approach, methodology, and tools for training and knowledge transfer, including innovative and AI-enabled solutions to support end-user learning and process adoption.
•Standardized Training Approach: User-friendly and standardized training materials (e.g. guides, e-learning modules, quick reference cards) developed and validated in coordination with business owners and process experts.
•Change Adoption and Readiness Report: Final assessment capturing the level of user readiness, adoption progress, feedback analysis, and key lessons learned, including recommendations for continuous improvement.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: University degree in business administration, information technology, or other related fields.
Experience: Minimum 5 years post graduate, progressively responsible professional experience as Change Management, Innovation and BPM specialist within a large organization, and proven record of accomplishment in development and implementation of IT applications.
Knowledge & Skills:
Technical Expertise: In-depth knowledge of Business Process Management (BPM) and Automation (BPM/A) methodologies, with proven experience in implementing and
optimizing ERP systems, preferably SAP ECC and SAP S/4HANA (brownfield or greenfield approach).
Change Management and Organizational Development: Strong experience in designing and coordinating change management strategies in large-scale digital transformation projects, including stakeholder engagement, communication planning, and resistance management.
Knowledge Management and Training: Expertise in establishing knowledge management frameworks and training strategies, including the design and delivery of learning materials and adoption of innovative approaches and tools (e.g. AI-enabled learning and knowledge-sharing solutions).
Analytical and Problem-Solving Skills: Strong ability to assess process and functional impacts, identify interdependencies, and propose effective mitigation measures in complex ERP and organizational contexts. Proven capacity to coordinate and cooperate multidisciplinary teams, business partners and functional leads to ensure alignment and operational continuity.
Communication and Engagement: Excellent communication, facilitation, and presentation skills, with the ability to build trust, promote collaboration, and engage effectively with diverse stakeholders at all organizational levels.
Tools and Methodologies: Familiarity with project management tools (e.g. MS Project, JIRA), process modelling software (e.g. Signavio, ARIS), and knowledge-sharing platforms.
Languages: Fluency in oral and written English with an intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP's working languages) is desirable.
