Travelive is a collection of trusted destination management companies (DMCs) specializing in unique travel experiences tailored to individual clients.Our destination specialties include Greece, Italy, Croatia, France, Spain, Portugal, Switzerland, Morocco, Egypt, and Turkey.Founded by a former advisor, Travelive was built around the challenges experienced by advisors selling the world.With offices in the US and across destinations, our dedicated teams led by Country Managers offer the benefits of working with a US company while also providing in-depth local knowledge, support, and a complete solution from 4* to ultraluxe.Travelive expertise includes custom FIT itineraries, group and multi-generational travel, country combinations, pre-and-post cruise, shore excursions, private yacht charters, and villas.Travelive planners are available for consultation with advisors and their clients.Itineraries are completed by our in-house concierge team and all guests have access to our 24/7 in-destination support.About the Role:This role is dedicated to managing and delivering exceptional group travel experiences in Italy, ensuring Travelive's high standards of quality and service.The position is Athens-based only and requires strong organisational, communication, and relationship-building skills.- Strong knowledge of Italy as a group travel destination.- Excellent organisational and communication skills.- Ability to manage multiple projects and deadlines effectively.- Proficiency in Excel and familiarity with travel booking systems.- Previous experience in group travel coordination is highly desirable.- Bachelor's degree or higher.Responsibilities include:CLIENT FACING - SALES MANAGEMENT- Respond to travel agent inquiries in a timely, professional manner ensuring clear and consistent communication.- Qualify incoming requests by gathering essential details and assessing feasibility based on group size, destination, and travel dates.- Set expectations with travel agents regarding internal procedures, timelines, and the booking process to ensure transparency and alignment.- Prepare customized, client-facing proposals that reflect Travelive's quality standards and align with client needs and preferences.- Develop and communicate payment plans, cancellation policies, and terms & conditions in a clear and client-friendly format.- Demonstrate excellent customer service and soft skills, including empathy, active listening, adaptability, and conflict resolution.- Build and maintain strong relationships with travel agents and clients through proactive communication and personalized support.- Collaborate effectively with internal departments to ensure seamless coordination and delivery of group travel services.GROUP BOOKING - COORDINATION- Assisting in maintaining accurate records of all group reservations, including correspondence, contracts, payments, and other related documentation.- Monitoring group budgets, tracking costs, negotiating with suppliers, and ensuring that all bookings stay within budget.- Collaborating with suppliers to confirm availability, secure bookings, and negotiate rates.- Ensure inquiries are dealt with in a precise and timely manner- Prepare detailed Group quotations in Excel.- Liaise with other departments effectively & efficiently by following internal procedures and processes.GROUP BOOKING - DELIVERY- Maintain consistent communication throughout the booking process to provide updates, address concerns, and confirm details.- Conduct quality checks on all reservations and travel arrangements to meet Travelive's standards.GROUP BOOKING - REPORTING & DEVELOPMENT- Follow up post-trip to gather feedback and identify areas for improvement in future group travel experiences.- Preparing reports and analysis related to group sales, providing insights into booking trends and opportunities for improvement for the Senior Group Manager.- Support the Senior Groups Manager with additional tasks as needed, contributing to the overall success of the department.- Staying current with travel industry and destination trends, and relevant new developments.What we offer:- A unique opportunity to grow within one of the leading Destination Management Companies in the travel industry.- Friendly and professional working environment.- An international and diverse work atmosphere.- Continuous opportunities for career progression.Only applications submitted in English and with a cover letter will be considered.Interviews will be conducted in English.Travelive seeks individuals interested in long term career and growth prospects and offers career and salary advancement opportunities.Travelive is an equal opportunity employer.#J-*****-Ljbffr
