Job Title: Employee File Retrieval & Review Specialist (Italy)Location: Romagnano Mill, Italy (Onsite)Employment Type: Contract (3 weeks)Rate: To be confirmed (Target: ~$14 USD/hour)Experience Level: Entry to Mid-LevelPosition OverviewWe are seeking detail-oriented professionals to support a global HR compliance project in Italy.This role involves locating, organizing, and reviewing historical employee files—both physical and digital—to ensure accuracy and completeness for compliance purposes.The ideal candidate will have strong organizational skills, attention to detail, and the ability to work independently in environments where records may be archived or difficult to access.Open to non-HR backgrounds—data clerks, records specialists, administrators, or anyone with file review experience are encouraged to apply.Key ResponsibilitiesFile Retrieval & OrganizationLocate and collect employee records from various storage locations, including physical archives, boxes, closets, and digital systemsVisit on-site and off-site storage areas as needed to retrieve filesOrganize and categorize files according to project guidelinesData Review & DocumentationAssess employee files for completeness, accuracy, and compliance with project standardsDocument findings, maintain detailed logs of retrieved files, and track progressReport inconsistencies, missing documents, or discrepancies to project leadsHandle confidential information in compliance with data privacy regulationsCollaboration & Problem-SolvingWork closely with regional HR teams and procurement partnersCoordinate efforts across locations and escalate issues as neededInvestigate and resolve problems related to missing or misfiled recordsQualificationsRequired ExperienceExperience in records management, data entry, administration, or similar rolesStrong attention to detail and organizational skillsAbility to work independently and manage time effectivelyComfortable handling confidential informationOpen to BackgroundsData Clerks, Records Specialists, Administrative Assistants, Document ControllersProfessionals experienced in reviewing, sorting, and organizing files or dataImmediate joiners preferredTechnical & Soft SkillsProficiency in Microsoft Office (Excel, Word, Outlook)Familiarity with document management systems is a plusStrong problem-solving and investigative abilitiesGood communication skills for team collaborationChallenges & ExpectationsHigh Volume: Large quantities of files, some dating back decadesPhysical Demands: Files stored in boxes or off-site locations may require lifting and searchingComplexity: Incomplete or misfiled records will need investigative trackingTime Sensitivity: Fast-paced, deadline-driven project requiring adaptabilityGlobal Coordination: Collaboration across regions and time zonesWork Environment100% Onsite at Romagnano Mill, Italy3-week contract with potential follow-up based on project needsMix of office and physical archive environmentsMay involve movement between storage locations on-site
