Position: DG Beauty Executive Assistant Europe & Africa – Maternity Cover

Dolce&Gabbana Beauty is looking for a proactive, organized, and multitasking Executive Assistant (Maternity Cover). As an Executive Assistant, you will have the opportunity to support the Europe & Africa Managing Director, focusing on optimizing his time by skilfully prioritizing correspondence, streamlining daily operations, and providing creative problem-solving. Essential Duties & Responsibilities Provide direct support to the Managing Director in managing daily activities, including scheduling appointments, managing emails, preparing documents, and handling communications. Manage scheduling by coordinating internal and external meetings, ensuring effective organization and follow-up. Learn and identify business priorities to help executive leadership manage and maximize their time. Proactively resolve scheduling conflicts. Arrange and coordinate domestic and international travel, including itineraries, accommodations, logistics, and visas for the Managing Director. Maintain and update the annual calendar of key business activities, milestones, and deliverables. Anticipate changes and adjust plans when priorities shift. Support document preparation and facilitate approval processes, including signatures and authorizations requiring Managing Director involvement. Handle highly sensitive information with the utmost discretion and confidentiality. Track and approve monthly expenses and reimbursements for the Managing Director and direct reports. Assist in the preparation of presentations, briefings, and materials for external meetings and public engagements. Collaborate with departments across the organization to coordinate activities, ensure alignment, and support efficient workflows. Event Support & Coordination Support the planning and organization of corporate and regional events, meetings, and hospitality activities. Manage guest and invitation lists, including RSVP tracking and participant communications. Search for and coordinate venues, suppliers, and other event services. Prepare and share event agendas and logistical information. Organize transportation, accommodation, and travel arrangements when required. Support the merchandising team with event setup, materials, and branding elements. Assist with the coordination of all event details to ensure smooth execution before, during, and after the event. Liaise with internal teams, agencies, and vendors to ensure all activities are delivered on time. Provide on-site support during events and help resolve any operational issues. Qualifications Previous experience in an administrative, coordination, executive support, reception, customer service, or event organization role. Experience with calendar management, travel arrangements, and meeting coordination is a plus. Bachelor's Degree preferred. Strong organizational and communication skills, with attention to detail. Proactive, flexible, and able to manage multiple priorities in a dynamic environment. Problem-solving mindset and ability to anticipate business needs. Proficiency in Microsoft Teams, Word, Excel, and PowerPoint. Knowledge of Zucchetti Software and Concur is a plus. Ability to handle confidential information with discretion and professionalism. Full-time Collective Labour Agreement (CCNL): Tessile, Abbigliamento e Moda Remuneration Remuneration will start from €26.000 depending on the experience, skills, and level of autonomy assessed during the selection process, in accordance with objective company criteria consistent with the organization, such as: (i) professional experience gained in similar roles or sectors; (ii) technical and specialist skills relevant to the role; (iii) demonstrated level of autonomy and responsibility; (iv) classification under the relevant National Collective Labour Agreement; and (v) consistency with internal pay equity parameters for comparable positions.
