At Elevate Teams, we recruit, train, and place bilingual virtual assistants from Latin America with U.
S. independent insurance agencies. We've built an 8-figure business on a simple belief: the right person, in the right role, changes everything. We operate under EOS. Clarity, accountability, and hustle are not buzzwords here. They're how we run every meeting, every quarter, every hire. We're looking for an Executive Assistant who makes our COO sharper, faster, and more focused. Not someone who needs managing. Someone who makes managing unnecessary. Your Mission Be the COO's operational right hand. Calendar and inbox are table stakes, the real job is keeping initiatives, teams, and follow-through on track. He shouldn't just hand you tasks; he should hand you whole workstreams and trust that they move, so he can stay focused on the systems, the integration, and the decisions that grow the business. What You'll Own
• Turn the COO's decisions into tracked action, owners, deadlines, and follow-through across departments
• Coordinate major initiatives end-to-end: new service lines, tech migrations, strategic partnerships, keeping status, owners, and timelines visible
• EOS rhythm support: L10 prep, scorecard updates, Rock and to-do tracking, issues-list upkeep
• Cross-department coordination with the leadership team, Recruiting, Training, Sales/Marketing, Client Success, Ops/HR, Finance, chasing accountability so nothing stalls
• Pulling reports and maintaining Zoho dashboards so the COO walks into every meeting with current numbers
• Meeting prep, agendas, and action-item tracking across leadership
• Documenting and tightening processes and SOPs as the company scales
• Calendar, inbox, vendor and tool admin, and personal scheduling, handled, not hovered over You're the Right Person If
• 3+ years supporting a C-suite executive or operations leader directly
• Your English is exceptional, written and verbal
• You're organized to the point of obsession, nothing falls through the cracks on your watch
• You think in projects and systems, not just tasks; you bring order, owners, and deadlines to whatever's messy
• You're comfortable with data, dashboards, and tools (Zoho, Google Sheets, or similar); EOS exposure is a strong plus
• You ask once, execute, and don't come back for hand-holding
• You're proactive, not reactive. You anticipate what's needed before being asked
• You see around corners and solve problems before they land on the COO's plate
• Accountability isn't something you need to be reminded of. It's who you are
• You own your misses, learn fast, and raise the bar on yourself
