A., we are looking for a: EXECUTIVE ASSISTANT who will provide high-level organisational and executive support to multiple C-Level Executives by coordinating calendars, priorities, information flows and key initiatives. The role acts as a central point of reference for senior management and high-level internal and external stakeholders, operating with a high degree of autonomy, proactivity and confidentiality, THE ROLE Specifically, the responsibilities are as follows: Manage complex calendars for multiple Executives, balancing competing priorities and proactively preventing scheduling conflicts. Organise domestic and international meetings, coordinating logistics, agendas, preparatory materials and follow-up actions. Coordinate corporate visits, events, conventions, workshops and town halls. The role does not include responsibility for organising Board of Directors meetings. Arrange domestic and international travel for the Executives, managing complex itineraries, changes and unexpected issues. Act as a trusted point of contact for internal and external stakeholders, including senior managers, partners, institutions, advisers and suppliers. Draft, review and finalise executive communications, reports, presentations and materials for management meetings, including in English. Track deadlines, commitments and follow-up actions, securing contributions and supporting timely completion. Support cross-functional initiatives and projects through planning, milestone tracking and coordination of contributions. Manage office budgets, expense reports, suppliers and procurement activities, including purchase requisitions and service acceptance entries through SAP. Handle highly confidential information and anticipate management’s organisational needs, proposing effective solutions. WHO WE ARE LOOKING FOR A professional with: at least 8-10 years of experience as an Executive Assistant, Senior Management Assistant or in an equivalent role; proven experience supporting multiple C-Level Executives or Top Management members simultaneously; significant exposure to international environments and senior stakeholders; C1 or fluent English, with full written and spoken proficiency for international business environments; knowledge of other languages will be an advantage; experience in the advanced use of the Microsoft 365 suite, Outlook, Teams and digital collaboration tools; experience in multinational companies, listed companies or organisations characterised by a high degree of organisational complexity is an advantage; upper secondary diploma or university degree, preferably in languages, business or humanities. Behavioural Competencies: autonomy, proactivity and ability to anticipate management needs; discretion, integrity and impeccable handling of confidential matters; excellent organisational skills and ability to manage competing priorities; diplomacy, professional presence and strong stakeholder orientation; advanced problem solving and sound judgement within the assigned remit; resilience, flexibility and effectiveness under pressure; accuracy, broad perspective and strong results orientation.
WHAT WE OFFER
