Compensation & Details
Pay Rate:
• Hourly Rate: $8.50-$9.50

• Clear career growth paths within the company Job Summary Virtual Latinos Academy is looking for an organized, proactive, learner-centered Learning & Development Operations Specialist to join our L&D team. You'll be responsible for turning approved learning programs into smooth, well-run experiences, from launch to graduation. That includes courses, Learning Paths, bootcamps, certifications, workshops, and cohort-based programs. You'll make sure each program is correctly set up in our LMS (LearnDash), that learners get clear and consistent support throughout their journey, and that every program runs reliably and on schedule, following the processes and standards set by the L&D Director. Day to day, you'll be the main point of contact for learners, coordinate enrollments, schedules, and live sessions, and keep learning data accurate and ready for reporting. Reporting to the L&D Director, you'll work closely with our Learning Experience and Multimedia Designers, instructors, SMEs, and teams across the company. Key Responsibilities
Academy & Program Operations
• Coordinate and support the day-to-day operational execution of Virtual Latinos Academy learning experiences, including courses, bootcamps, certification programs, workshops, challenges, live classes, and cohort-based programs, under the direction of the L&D Director.
• Coordinate the operational activities required to move an approved learning solution into delivery, including participant enrollment, admissions support, onboarding, scheduling, live-session logistics, instructor coordination, attendance tracking, assignment and assessment administration, certification, graduation, and program closeout.
• Maintain operational calendars and program trackers, monitor milestones, dependencies, participant requirements, and deliverables, and escalate risks or issues to the L&D Director as needed.
• Support operational handoffs between Learning Experience Design, Multimedia Production, instructors, and other stakeholders involved in program delivery. Learner Operations & Support
• Serve as the primary operational point of contact for learners participating in Academy programs and courses.
• Provide timely, clear support for enrollment, platform access, schedules, attendance, assignments, assessments, deadlines, learning progress, completion requirements, certificates, badges, and program logistics.
• Coordinate learner onboarding and ensure participants receive the information, access, resources, calendars, tools, and expectations required before beginning a learning experience.
• Monitor attendance, participation, assignment completion, and learner progress to identify participants who may require additional operational support.
• Coordinate reminders, recovery actions, support sessions, or escalation to the appropriate L&D team member when learners are at risk of falling behind.
• Maintain learner support resources, FAQs, standard responses, escalation pathways, and records of recurring learner issues. LMS & Learning Technology Administration
• Administer LearnDash and other approved Academy learning technologies to ensure learning experiences are correctly configured and accessible.
• Manage operational LMS activities including course setup, lessons, quizzes, prerequisites, enrollments, learner groups, notifications, certificates, feedback forms, access rules, course visibility, completion requirements, and learner progress.
• Implement approved learning experiences according to specifications provided by the Senior Learning Experience Designer and incorporate finalized learning assets provided by the Senior Multimedia Designer.
• Perform first-level troubleshooting related to LMS access, course progression, forms, assessments, notifications, certificates, badges, and learning technology functionality.
• Escalate technical issues requiring system-level intervention to IT/Data or the appropriate technical owner. Operational Data & Reporting Support
• Maintain accurate, complete, and up-to-date operational learning data across LearnDash, forms, spreadsheets, program trackers, and other approved Academy systems.
• Validate and maintain records related to enrollment, attendance, participation, assignment submission, assessments, completion, certification, graduation, learner satisfaction, support activity, and other operational program metrics.
• Identify missing, duplicated, or inconsistent information and perform the necessary reconciliation and data-quality checks.
• Prepare and deliver validated operational data inputs required for recurring Academy reporting, cohort reporting, leadership reporting, and the consolidated Academy scorecard.
• Support reporting processes by ensuring source data is reliable, traceable, and delivered within established reporting timelines. Process Documentation, Quality Assurance & Continuous Improvement
• Conduct operational quality assurance before and during Academy launches to validate learner access, enrollments, links, calendars, forms, assessments, notifications, certificates, badges, learner progression, data capture, and other critical operational components.
• Create and maintain SOPs, program runbooks, launch checklists, learner support guides, communication templates, attendance trackers, assessment trackers, graduation checklists, troubleshooting guides, and other operational documentation.
• Support the standardization of recurring Academy processes to improve consistency, reduce operational risk, and enable learning programs to scale efficiently.
• Identify recurring learner issues, manual tasks, operational bottlenecks, and opportunities for process improvement.
• Recommend and implement approved improvements using learning technologies, AI tools, templates, automation, and low-code/no-code solutions.
• Support program retrospectives and post-mortems by providing operational observations, learner-support trends, data-quality findings, and execution insights. Requirements

Experience:
At least 2 years of experience in Learning & Development operations, training coordination, LMS administration, learning program coordination, EdTech operations, learner support, or a similar role.
• Learning Program Coordination: Experience supporting virtual learning programs such as bootcamps, cohort-based programs, workshops, webinars, certification programs, live classes, or online learning experiences.
• Learning Management System
Experience:
Hands-on experience administering an LMS, including course setup, enrollments, learner groups, lessons, quizzes, assessments, certificates, completion requirements, and notifications. Experience with LearnDash or WordPress-based learning platforms is highly valued.
• Learner Support and Service Orientation: Strong customer-service mindset and ability to provide clear, empathetic, timely, and solution-oriented support to learners experiencing access, enrollment, progress, scheduling, assessment, certificate, or platform-related issues.
• Program and Project Coordination: Strong organizational skills and the ability to manage multiple learning programs, deadlines, participants, trackers, logistics, and operational dependencies simultaneously.
• Data Management and Reporting Support: Strong proficiency in Google Sheets or Microsoft Excel, including formulas, lookup functions, pivot tables, filters, data validation, data cleaning, and report preparation.
• Process Documentation: Ability to create and maintain SOPs, runbooks, checklists, trackers, templates, learner support resources, and operational documentation.
• Technology and Automation Mindset: Comfortable learning and using digital platforms, AI tools, automation solutions, and low-code/no-code technologies to improve efficiency and reduce repetitive operational work.
