Rome, Italy (Vatican extraterritorial area) Supervisory Responsibility: None Position Summary We are looking for a Secretary to the Director of the Institute for Continuing Theological Education (ICTE). Program Assistant provides day-to-day administrative and operational support to the Director and assists with the planning, coordination, and administration of the College’s continuing education programs. The position involves a broad range of administrative, financial, logistical, and participant-support responsibilities. The successful candidate will work closely with the Director, internal College departments, external service providers, and program participants to ensure the smooth and effective delivery of scheduled educational programs. The ideal candidate is highly organized, detail-oriented, proactive, and able to manage multiple priorities in an international, North American environment.
Key Responsibilities
Responsibilities include, but are not limited to: Provide day-to-day administrative support to the Director in the organization and administration of the College’s continuing education activities and programs. Assist with the planning, scheduling, and coordination of educational modules and related program activities. Provide professional and timely assistance to program participants before, during, and after program activities. Maintain accurate participant registration and payment records and reconcile them with the College Business Office’s accounting records. Prepare and process Purchase Order Requests and Requests for Reimbursement in accordance with College policies, procedures, and protocols. Submit timely requests for external services and internal College services required for the successful delivery of scheduled educational modules. Coordinate with external service providers, including travel agencies, hotels, transportation companies, speakers, and other vendors. Coordinate lodging, maintenance, housekeeping, and related services in accordance with established College policies and procedures. Maintain accurate administrative records, documentation, schedules, correspondence, and program-related files. Communicate effectively with internal departments and external providers to ensure that program requirements are addressed accurately and in a timely manner. Assist with the preparation and organization of program materials and other administrative documentation. Monitor deadlines and follow up with relevant individuals and departments to ensure that program-related tasks are completed on schedule. Support the Director with additional administrative and organizational responsibilities as needed. Perform all duties in accordance with the College’s policies, practices, procedures, mission, and ethical values. Required Qualifications At least five years of professional experience in an administrative position involving a broad range of responsibilities. Native or near-native proficiency in English and excellent proficiency in Italian, both written and spoken. Demonstrated ability to manage spreadsheets, maintain accurate records, and work with administrative and financial information. Excellent organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines. Strong attention to detail and a methodical, conscientious approach to work. Strong analytical, problem-solving, and critical-thinking skills. Excellent written and verbal communication skills in both English and Italian. Strong interpersonal skills and the ability to interact professionally with participants, colleagues, vendors, and external service providers. Professionalism, discretion, reliability, and a high level of personal responsibility. Excellent computer skills, including advanced proficiency in Microsoft Office and Excel, and the ability to quickly learn new software and administrative systems. Preferred Qualifications Bachelor’s degree in business administration, communications, education, hospitality, or a related field. Previous experience in higher education, continuing education, hospitality, nonprofit administration, or an international organization. Experience coordinating events, educational programs, conferences, travel, lodging, or other multi-party activities. Experience working in an international or multicultural environment. Work Environment The successful candidate will work in an international educational environment in Rome, with a North American community. The position requires a high degree of professionalism, discretion, flexibility, and cultural awareness.
