PERSONAL PROFILE
High School Diploma. Courses and masters related to the administration topic.
Fluent English, spoken and written (minimum C1).
Fluent Italian, spoken and written (minimum C1)
Excellent knowledge of Office 365 tools (Outlook in particular); strong web literacy.
Analytical mindset.
Extremely well organised, constructive and proactive attitude with a strong motivation to be part of a team.

PURPOSE OF THIS ROLE
The purpose of this role is to support the Executive Director, ensuring the correct execution of the following:
a) Managing office suppliers
b) Office space management and upkeep
c) Shipping and correspondence
d) Management of internal/external administrative communication flow
e) Supporting HQ staff members with travel and hotel bookings
f) Travel Insurance coordination
g) Support to Meetings department for Meetings at HQ (Parma)
h) Support to Internal & External Relations Manager for Institutional Affairs tasks and communications
i) Other administrative tasks
j) Privacy Compliance
KEY ACCOUNTABILITIES
Being part of the general administration implies handling several tasks, among which:
a) Travel, hotel and transfers coordination for other HQ staff members
b) Support the Executive Director and staff with administrative tasks
c) Support the Internal & External Relations Manager for Institutional Affairs
d) Correspondence linked to all the above activities
e) Formulates proposals to improve the quality and timing of activities. If necessary, he/she involves the interested parties to assess the impact on the entire cycle
IMPORTANT NOTES
Most of the activities and correspondence are in English. The job offer is for an office position to be performed at the ERA HQ in Parma (Italy).
Limited business trips outside Italy are part of the standard activities for all the staff members, including this role.
