What We Are Looking For
We are looking for a Special Projects & Events Coordinator to join our Corporate Marketing & Communications team, supporting the delivery of the department’s event and special project portfolio. In this role, you will coordinate corporate events and special projects from brief and planning through execution and final delivery, acting as the main operational point of reference for internal teams, agencies, suppliers and external production partners. Working within the strategic and creative direction defined by the Corporate Marketing & Communications team, you will help translate approved briefs into structured operational plans and ensure smooth, on-time and on-brand execution. The role requires proven hands-on experience in event production and project coordination, together with a highly organized, proactive and solution-oriented approach.
Key Activities
- Plan, produce and coordinate the end-to-end delivery of corporate events, including conferences, institutional events, launches, internal events and other corporate initiatives, from initial brief and planning through production, on-site execution and post-event wrap-up;
- Manage all key operational aspects of event production, including venues, suppliers, technical production, set-up, logistics, run-of-show, materials and on-site coordination;
- Coordinate production schedules and operational timelines, anticipating potential issues and ensuring delivery against agreed timing and quality standards;
- Act as the main operational point of contact for agencies, suppliers, production partners and internal stakeholders throughout the event lifecycle;
- Coordinate special projects and productions beyond events, including film and documentary productions, corporate publications and editorial projects, managing workflows, external suppliers, logistics, schedules and deliverables;
- Translate approved briefs and strategic direction into clear operational plans, applying a structured project management approach and following projects through to final delivery;
- Coordinate multiple internal and external stakeholders, ensuring clarity of responsibilities, deadlines and expected deliverables;
- Coordinate supplier sourcing, quotations, production requirements and relevant procurement processes, working with the appropriate internal functions and in line with approved budgets and timelines;
- Work closely with the relevant Corporate Marketing & Communications teams to ensure that projects and deliverables are consistent with approved brand guidelines, communication objectives and creative direction;
- Ensure a consistently high standard of execution across events, productions and project deliverables, in line with the quality expectations and brand standards defined by the Corporate Marketing & Communications team;
- Support the department on other cross-functional projects and initiatives according to business and departmental priorities;
- Provide project wrap-up, reporting and follow-up as needed.
Qualifications
- Bachelor’s degree in Marketing, Communications, Event Management or a related field;
- Relevant professional experience in event production, project coordination, agency account management or similarly project-driven roles, with direct involvement in projects from planning through execution;
- Strong knowledge of event production processes, including suppliers, venues, technical requirements, logistics, set-up and on-site coordination;
