Duties

  • Review outgoing correspondence for technical accuracy. (Format, grammar, accuracy, conformance to office policy, completeness, coherence and consistency. Etc.). Use automated software to develop correspondence.
  • Manage office communication by composing letters, inter-office memos, and/or faxes. Manage incoming correspondence for proper distribution.
  • Coordinate meetings or briefings to ensure all participants are provided the agenda, background material, or other necessary information.
  • Processes timecards, personnel/position actions for all assigned staff and manage office calendars/schedules.
  • Receive callers or visitors to direct inquiries to staff members.
  • Provide information and guidance on school procedures, reports, and requirements, as well as school programs, polices, procedures, and activities.
  • Maintain suspense records on correspondence and follow up to ensure timely response.

In order to qualify, you must meet the experience requirements described below. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application.
Specialized Experience GS-06: One year of specialized experience which includes: managing office calendars; reviewing correspondence to ensure accuracy; and maintaining office records in areas such as time and attendance, payroll, and/or leave records. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-05).
Time in Grade Requirement GS-06: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-05).
Proficiency Required: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors.
