Responsibilities Vendor Management & Soft Services Oversight Manage relationships with soft services facilities management vendors (pest control, laundry, maintenance and other soft services) Negotiate contracts and monitor service level agreements Conduct regular performance reviews and ensure compliance with quality standards Coordinate vendor activities to minimize operational disruption while maintaining cost efficiency Daily Operations Management Oversee day-to-day workplace operations ensuring seamless facility functionality Monitor building systems and coordinate maintenance activities Manage space utilization and respond to operational issues promptly Maintain high standards of workplace environment, safety protocols, and regulatory compliance Serve as primary point of contact for operational escalations Financial Management Develop and manage annual budgets for facility operations Track expenditures against approved budgets and identify cost optimization opportunities Process invoicing and approve vendor payments Maintain accurate financial records and provide regular financial reporting Analyze variances and recommend corrective actions to senior management and clients People Management Lead and develop on-site facilities team members Provide guidance, performance feedback, and professional development opportunities Foster collaborative team environment while ensuring accountability for service delivery standards Manage staffing levels and coordinate training programs to maintain operational excellence Service Optimization & Client Relations Continuously evaluate service delivery processes to identify improvement opportunities Implement best practices, streamline workflows, and introduce innovative solutions Build strong relationships with client stakeholders Regularly solicit feedback and adapt services to meet evolving client needs Enhance overall client satisfaction through proactive service optimization Experience Minimum 5-7 years managing corporate real estate services Demonstrated expertise in facilities management, vendor oversight, and client relationship management Previous experience supporting account transitions or new client implementations preferred Technical Skills Strong financial acumen with budget development, cost management, and financial analysis experience Proficiency in facilities management software, Microsoft Office Suite, and financial reporting tools Knowledge of building systems, safety regulations, and compliance requirements Leadership Capabilities Proven people management experience with ability to motivate teams and manage performance Strong project management skills coordinating multiple initiatives simultaneously Attention to detail while maintaining focus on results delivery Communication & Relationship Management Excellent verbal and written communication skills Ability to interact effectively with senior executives, vendors, and diverse stakeholder groups Demonstrated success building trust-based client relationships Experience managing expectations during transitional periods Education Bachelor's degree in Business Administration, Facilities Management, Real Estate, or related field preferred Professional certifications in facilities management (CFM, FMP) or project management (PMP) advantageous Preferred Qualifications Experience with large-scale corporate real estate portfolios and multi-vendor management environments Background in change management and process improvement methodologies Knowledge of sustainability practices and workplace technology trends Location: Latina Italian section: Responsabilità Principali Gestire i rapporti con i fornitori di facility management per servizi ausiliari (disinfestazione, lavanderia, manutenzione e altri servizi ausiliari) Negoziare contratti e monitorare gli accordi sul livello di servizio Condurre revisioni regolari delle performance e garantire la conformità agli standard qualitativi Coordinare le attività dei fornitori per minimizzare le interruzioni operative mantenendo l'efficienza dei costi Gestione Operazioni Quotidiane Supervisionare le operazioni quotidiane del workplace assicurando il funzionamento fluido delle strutture Monitorare i sistemi dell'edificio e coordinare le attività di manutenzione Gestire l'utilizzo degli spazi e rispondere prontamente ai problemi operativi Mantenere elevati standard dell'ambiente di lavoro, protocolli di sicurezza e conformità normativa Fungere da punto di contatto primario per le escalation operative Gestione Finanziaria Sviluppare e gestire budget annuali per le operazioni strutturali Tracciare le spese rispetto ai budget approvati e identificare opportunità di ottimizzazione dei costi Elaborare fatturazione e approvare pagamenti ai fornitori Mantenere registri finanziari accurati e fornire reportistica finanziaria regolare Analizzare variazioni e raccomandare azioni correttive al management senior e ai clienti Gestione Persone Guidare e sviluppare i membri del team strutture in loco Fornire orientamento, feedback sulle performance e opportunità di sviluppo professionale Promuovere un ambiente di team collaborativo garantendo responsabilità per gli standard di erogazione servizi Gestire i livelli di personale e coordinare programmi formativi per mantenere l'eccellenza operativa Ottimizzazione Servizi e Relazioni Clienti Valutare continuamente i processi di erogazione servizi per identificare opportunità di miglioramento Implementare best practice, ottimizzare flussi di lavoro e introdurre soluzioni innovative Costruire relazioni solide con gli stakeholder clienti Sollecitare regolarmente feedback e adattare i servizi per soddisfare le esigenze clienti in evoluzione Migliorare la soddisfazione complessiva del cliente attraverso l'ottimizzazione proattiva del servizio Qualifiche Richieste Esperienza Minimo 5-7 anni nella gestione di servizi immobiliari aziendali Comprovata competenza nella gestione strutture, supervisione fornitori e gestione relazioni clienti Esperienza precedente nel supporto a transizioni di account o implementazioni nuovi clienti preferita Competenze Tecniche Solida capacità finanziaria con esperienza nello sviluppo budget, gestione costi e analisi finanziaria Competenza in software di gestione strutture, Microsoft Office Suite e strumenti di reporting finanziario Conoscenza dei sistemi edilizi, regolamenti di sicurezza e requisiti di conformità Capacità di Leadership Comprovata esperienza nella gestione persone con capacità di motivare team e gestire performance Solide competenze di project management coordinando multiple iniziative simultaneamente Attenzione ai dettagli mantenendo focus sulla consegna dei risultati Comunicazione e Gestione Relazioni Eccellenti competenze di comunicazione verbale e scritta Capacità di interagire efficacemente con dirigenti senior, fornitori e gruppi diversi di stakeholder Successo dimostrato nella costruzione di relazioni clienti basate sulla fiducia Esperienza nella gestione delle aspettative durante periodi di transizione Formazione Laurea in Amministrazione Aziendale, Gestione Strutture, Immobiliare o campo correlato preferita Certificazioni professionali nella gestione strutture (CFM, FMP) o project management (PMP) vantaggiose Qualifiche Preferite Esperienza con portafogli immobiliari aziendali su larga scala e ambienti di gestione multi-fornitore Background nel change management e
