In preparation for a major global sporting event in Italy in 2026, reporting to the Operations Director (UK), the People & Recruitment Manager will manage all HR & Recruitment processes in the iLUKA Italy office as well as supporting our overseas offices.
This role will consist of daily general HR duties and a big focus on managing the recruitment, selection, and delivery of an event workforce to populate operational teams in all areas of the company's functional business units.This is a contract role starting in January/February 2025 until March/April 2026. Key ResponsibilitiesManage all HR employee documentation, including design and development where necessary, including role specifications, newsletters  and joining instructionsPrepare employee contracts based on a templateAnswering HR queriesGive new employees a fantastic introduction to iLUKA by conducting new hire orientation and local on-boardingLiaise with IT and Finance to enrol new startersReview and Authorise monthly payrollAnswering any queries on payrollManage local requirements for expatriate employees including, rent, Visas and relocationMaintain employee benefits programs and inform employees of benefitsEnsures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees; hearing and resolving employee grievances; counselling employees and supervisorsEnsures legal compliance by monitoring and implementing applicable human resource requirements; conducting investigations; maintaining records; representing the organisation at hearingsParticipate in the development of strategic recruitment plans aligned to meet the resourcing and accreditation needs of all functional areasEffectively track and monitor recruitment progress against plansAssist in the development and manage university attraction and recruitment strategyResearch, budget, plan and execute candidate assessment centres and interview schedulesScreening, interview and management of suitable candidatesAdhere to professional and legal confidentiality standards, company policies, procedures and practices, maintaining the highest level of integrity regarding candidate data management  and client confidentialityCommunicate effectively with all colleagues, participate in project team meetings as required and necessary client /organising committee meetingsCompile recruitment contingency plans covering candidate withdrawal, increased resource needs and other potential changes to resourcing needsAssist in developing and delivering training to programme teams on relevant areas, including accreditation, working time restrictions, payroll systems, etc.Understanding accreditation types and restrictionsGuide and control accreditation procedures through relevant functional areasManage collation, accuracy and format of employee information for submissionEnsure timely submission of accreditation requestsThis is not an exhaustive list, and all team members will be expected to contribute to any other aspects of the business as necessary.Skills, Knowledge, ExpertiseFluent in Italian and EnglishPrevious HR and Recruitment Management experiencePrevious experience in high-volume recruitment campaignsHospitality or sports event experience would be an advantageUniversity recruiting experienceEffective project management skillsConfident public speaking and communication skillsStrong planning, organisation and time management - able to plan, set and achieve goals within defined deadlinesAdvanced IT Skills, especially in ExcelCommitment to unrivalled customer service and teamwork to deliver resultsAttributesHigh energy, comfortable working potentially long hours in a demanding but rewarding and friendly environmentFlexible, enthusiastic, confident, outgoingWilling to roll sleeves up and get involvedPassionate about sport, hospitality and deliveryAble to work in a calm, kind and professional manner in a pressured environmentAbility to prioritise a demanding workload
