**About this opportunity**

As a Office managment Assistant - intern you will be working in the Office Management function and support the Office Manager in all activities concerning the management of the office with regard to both "Office Based" and "Field" employees working in the field. It is a dynamic and articulated role that interfaces with 60 people within the office and 80 people working in the field spread across Italy.

**In this role, you will**
- Represent the company in the first meeting with external guests, welcoming them and seating them in the reserved rooms, making sure they are comfortable and have what they need (water, coffee, guest WI-FI) and remaining available for any other needs
- Be responsible for the management of the meeting rooms, ensuring that the rooms are always properly stocked with everything necessary for the conduct of both internal and external meetings, and for their arrangement at the end of each meeting
- Interface with colleagues for company breakfast and lunch needs in the office by autonomously contacting the catering service for orders, ensuring that they are provided at the established times and as requested. You will also deal with the administrative aspect by managing the internal file entry of services provided in support of the Office Manager in the invoice approval process
- Liaise with the central reception of the building for incoming and outgoing mail
- Be responsible for shipping services by managing couriers in support of all company functions and in particular by collaborating with the marketing function in the shipping and collection of all materials required for the various conferences and trade fairs in which the company participates
- In total autonomy, check and order the supplies that are indispensable to the running of the office (stationery, coffee and others that may be needed)
- Liaise with all service providers to manage routine office maintenance (plants, devices such as coffee machines, water dispensers, installations and others)
- Collaborate with the Office Manager in Management Control by accurately and precisely compiling the registration files of all goods and services purchased
- In cooperation with the Office Manager, manage the company fleet with particular focus on the management of fines with responsibility for communication and feedback verification with all company car owners
- Be entrusted with the tasks of cooperation and support with the Finance department in the management of passive invoices.
- Be responsible for verifying the passive invoices of the sales force with agency contracts (approx. 40 persons). This role requires accuracy, precision and communication with the agents to verify the correct amount of the invoiced services. You will also be required to check and validate the agents' expenses by verifying the correctness of the reimbursements requested
- Do any other office administration and management work depending on the situation may be part of the role as general support and assistance in the office and to colleagues in the field.

**In this role, you’ll need **
- A university degree/or studing for a degree
- To be a proactive and eager learner with a good welcoming and listening disposition
- Be fluent in Italian and English
- Be willing to work 40H a week
