**Per la nostra sede di Milano, Via Santa Croce 19, stiamo cercando un/a Coordination Secretary.**

**A diretto riporto del Direttore Field Operation Department (FOD) e della Direttrice della Medical Coordination Unit (MCU), ha il compito di supportare ambedue le figure di direzione nelle attività quotidiane e nella gestione della propria agenda, così da agevolare la loro pianificazione e l’organizzazione degli eventi in cui coinvolti. Nonché di rispondere alle richieste in ambito logistico e amministrativo, come l’organizzazione delle trasferte, la compilazione delle RDA (richiesta di acquisto) e la preparazione di materiali.**

**Principali compiti e responsabilità**:

- gestire l’agenda del Direttore FOD e della Direttrice della MCU, in particolare tramite l’organizzazione, la preparazione e la partecipazione alle riunioni, predisponendo l’ordine del giorno, stilando la minuta e facendo azioni di follow up attraverso la condivisione degli action points
- supportare alla produzione e alla revisione dei materiali, quali presentazioni, documenti, progetti, report ad hoc a seconda delle necessità e delle singole richieste
- fornire un supporto di tipo logistico ai Direttori e ai membri della MCU, quali firme di documenti, prenotazioni, condivisione di materiale divulgativo, iscrizioni a eventi esterni, ect
- rispondere alle richieste di tipo amministrativo, come la compilazione delle RDA relative alle spese della MCU, così da mantenere sotto controllo alcune voci di budget e fornire aggiornamenti in merito
- fungere da filtro tra quelle che sono le richieste dei diversi uffici - come tra i desk e il Direttore FOD e i componenti della MCU e la Direttrice - e quelle provenienti degli enti esterni
- sviluppare e monitorare un sistema di archiviazione (cartacea e digitale) della documentazione in possesso e prodotta
- mantenere aggiornata la piattaforma di Sharepoint contenente i protocolli medici e clinici prodotti e redatti dal MCU
- in collaborazione con l’Area Director Assistant, redigere e archiviare la documentazione necessaria ai progetti come MOU, protocolli, lettere ufficiali, report, ect e fornire tutta la documentazione necessaria per permettere la registrazione di EMERGENCY nel paese (supporto dell’Area Migration)

**Requisiti richiesti**
- Esperienza pregressa nel ruolo di almeno 3 anni
- Orientamento al risultato con buone capacità organizzative e di gestione del tempo
- Ottime doti comunicative e relazionali
- Flessibilità e capacità di adattarsi ad un ambiente in costante evoluzione
- Conoscenza fluente della lingua inglese (livello minimo richiesto: C1)
- Conoscenza del pacchetto Office e delle piattaforme multimediali, come Microsoft Teams
- Disponibilità alle trasferte
