We are looking for an Events Specialist to join our restaurant team. The successful candidate will be responsible for overseeing all aspects of event coordination, from the initial inquiry to post-event feedback. This role requires excellent communication, attention to detail, and the ability to manage multiple events simultaneously while ensuring an exceptional experience for every guest

Responsibilities:

Event Inquiries & Client Communication

- Respond to all event inquiries promptly and professionally.
- Provide detailed and courteous communication with clients, ensuring all questions are answered.

Event Coordination & Planning

- Guide clients through the event planning process from the initial inquiry to the day of the event.
- Listen to the client's needs and ensure their expectations are met.
- Prepare and send event proposals and quotes.
- Check the restaurant’s availability and capacity to accommodate the event.
- Draft and manage contracts as needed, ensuring all terms are clear and agreed upon.
- Prepare invoices for deposits and ensure timely payments in collaboration with the administration team.
- Notify staff as soon as the event is confirmed, ensuring all teams are informed and prepared.
- Create detailed event orders for all departments involved (hospitality, bar, service, security, etc.), including specific instructions.

Client & Event-Specific Considerations

- Always ask clients if there are any food allergies or intolerances to be aware of.
- Send a follow-up email to the client the day after the event to gather feedback and ensure satisfaction.

Day of Event Management

- Depending on the type of event, prepare all necessary materials, including:
- Print menus (in Italian or English as needed).
- Arrange flowers and decorations as requested.
- Oversee event setup and ensure all details align with the client's vision.
- Hold a pre-event meeting with staff to review the details of the event, payment terms, and final balance due.

Requirements:

- Strong planning skills

- Ability to work under pressure and meet deadlines
- Attention to detail and problem-solving abilities
- Customer service and hospitality skills
- Leadership and team management skills
- Strong knowledge of Office 365 and Photoshop

We offer a full-time job.

Salary based on previous experience.
