Assistant to the General Manager

As a General Manager's Assistant, you will play a critical role in supporting the site's leadership community and delivering exceptional service to internal and external customers.
Reporting to the General Manager, you will be responsible for coordinating administrative tasks, building relationships with support staff, and managing Away Teams on site and at other Operational sites.
You will interact with Amazon counterparts globally to arrange meetings, conference calls, and diary schedules, and organize site employee events, including managing budgets and deadlines.
Key responsibilities include:
- Coordinating the team's administration and supporting the General Manager in their duties.
- Working closely with support staff to build and secure resources for projects and initiatives.
- Managing Away Teams and coordinating travel arrangements for hourly paid Associates.
- Preparing minutes of meetings and following up on actions from meeting outcomes.
- Coordinating visitors on behalf of the General Manager and Senior Management.
- Developing presentations and agendas for site visits and quarterly organization meetings.
We are open to hiring candidates to work out of one of the following locations:
Agognate, NO, ITA
Basic Qualifications
Basic qualifications and skills:
- Significant EA/PA experience at Director and/or Senior Manager level, including experience of diary management and arranging travel and conference calls.
- Proficiency with the Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
- Ability to prioritize and handle multiple assignments at any given time.
- Ability to communicate effectively written and verbal with a variety of constituent groups.
- High levels of integrity and discretion.
- Flexibility and ability to commit the time required to get the job done.
Preferred Qualifications
Preferred qualifications and skills:
- Previous working experience within a large scale rapid and process driven environment would be beneficial.
